Were seeking a highly organized and proactive Executive Administrative Assistant to support the day-to-day operations of an Immigration U.S.-based law firm. The ideal candidate will be detail-oriented, tech-savvy, and capable of handling both administrative and client-facing responsibilities in a fast-paced legal environment.

Key Responsibilities

Administrative & Operational Support

  • Assist in daily operations and ensure smooth office workflow.

  • Maintain and update staff and clients on USCIS notices and changes.

  • Organize and name digital files into their respective folders; maintain file accuracy and consistency.

  • Manage and update the office training manual as needed.

  • Prepare letters of non-representation and requests to postpone interviews.

  • Manage attorney schedules, plan weekly micro-meetings (30-45 minutes) and quarterly staff meetings.

  • Maintain weekly reports on case workflows and team productivity.

  • Manage court access and state/superior court links.

  • Oversee backend document organization, perform file audits, and assist with online account creation.

Client & Case Support

  • Conduct client interview preparations and assist clients with financing applications.

  • Answer calls, take messages, and respond to voicemails professionally and promptly.

  • Contact clients to collect documentation and follow up on pending requests.

  • Assist in researching case law when needed.

Marketing & Communication

  • Contact leads to schedule appointments and manage sales follow-ups.

  • Manage marketing initiatives, including website blog content and Attorneys Corner podcast scripts.

  • Update website content and ensure information accuracy.

  • Respond to Google reviews and maintain a professional online brand presence.

Qualifications

  • 1+ year of experience as an Administrative or Executive Assistant (legal background preferred).
  • Strong knowledge of USCIS procedures and immigration processes is a plus.
  • Excellent written and verbal communication skills.

  • Highly organized with strong attention to detail and time management.

  • Proficiency in Microsoft Office, Google Workspace, and case management systems.
  • Ability to multitask and prioritize in a fast-paced remote environment.
