Job Summary:

The Stores Data Entry Clerk is responsible for accurately entering, updating, and maintaining inventory records in the system. This role ensures that all stock movementsreceipts, issues, transfers, and adjustmentsare correctly recorded and reconciled. The position supports efficient store operations through timely data updates and coordination with procurement, production, and finance teams.

Key Responsibilities:

· Accurately enter GRNs, stock issues, returns, and transfers into the inventory system (e.g., SAP, ERP, Excel).

· Maintain and update daily inventory movement logs and physical bin cards.

· Coordinate with stores team to verify stock levels, and reconcile system records with physical counts.

· Ensure data accuracy in all stores-related transactions (quantity, material codes, batch numbers, etc.).

· Support monthly and quarterly stock takes by generating and printing stock reports.

· Assist in tracking inward and outward materials including raw materials, consumables, and packaging.

· Prepare and submit daily/weekly inventory movement reports to management.

· Highlight discrepancies or unusual stock movement patterns to the supervisor.

· Maintain a well-organized and easily retrievable record-keeping system for vouchers, GRNs, and issue notes.

· Liaise with procurement and finance teams for PO verification and invoice matching.

· Follow all company safety and data security protocols while handling inventory and system access.

Requirements:

· Minimum Diploma in Supply Chain, Business Administration, or related field.

· Proficiency in MS Excel, and working knowledge of ERP systems (SAP, Oracle, Tally, etc.) is preferred.

· At least 12 years of experience in a similar inventory or data entry role.

· Good numerical and analytical skills.

· Attention to detail and a high degree of accuracy in data entry.

· Ability to work under pressure and meet deadlines.

· Strong communication and coordination skills.

· Familiarity with manufacturing or warehouse environments.

· Experience with barcode scanning tools or inventory tracking systems.

· Basic knowledge of supply chain and inventory management principles.
