Workflow Specialist
About the job Workflow Specialist
- Thoroughly document and analyze process workflows to identify inefficiencies, redundancies, and areas for improvement.
- Create detailed process maps using tools such as Microsoft Visio to enhance clarity and foster cross-functional understanding.
- Regularly review and update workflows based on stakeholder feedback, operational insights, and evolving business needs.
- Maintain a centralized repository for workflow documentation, ensuring easy access, version control, and compliance with Quality Management System (QMS) standards.
- Collaborate with cross-functional teams to ensure that documentation accurately reflects current processes, adheres to ISO standards, and aligns with industry best practices.
- Partner with stakeholders to identify process bottlenecks and uncover underlying root causes.
- Develop and implement targeted solutions to address bottlenecks, improving overall workflow efficiency.
- Lead workshops or meetings to align cross-functional teams on process improvements and streamline operations.
- Document and standardize resolutions to prevent recurrence of workflow issues, ensuring consistency with QMS protocols.
- Foster clear communication and smooth handoffs between teams by defining roles, responsibilities, and expectations.
Qualifications:
- Bachelors degree in Business Administration, Industrial Engineering, Computer Science, Information Systems, or a related field
- Minimum of 3 years of experience in workflow mapping, process documentation, or a similar role.
- In-depth experience with ISO standards and Quality Management System (QMS) documentation is highly preferred.
- Strong background in operational reporting, metrics analysis, and process improvement initiatives.
Technical Requirements:
- Proficiency in Microsoft Visio, SharePoint Modern Pages, and web parts.
- Knowledge of automation tools such as Power Automate is an advantage.
- Familiarity with data visualization and reporting tools such as Power BI is preferred but not required.
- Excellent technical writing skills, with a focus on producing clear, concise, and comprehensive documentation.
