We're hiring a high-agency Operations & Systems Optimization Specialist to support a fast-growing U.S. real estate and hospitality business. This role focuses on building operational structure, improving workflows, implementing AI-driven systems, and increasing efficiency across the organization.We're looking for someone who thinks in systems, automation, accountability, and optimization not just task execution. This role combines operations management, systems building, AI implementation, and workflow optimization in a fast-paced, high-growth environment.

What You'll Own:

• Building and optimizing operational systems and workflows.
• Creating SOPs, documentation, and scalable processes.
• Implementing AI tools, automations, and workflow improvements.
• Improving CRM organization, reporting visibility, and accountability.
• Supporting onboarding systems and operational coordination.

Core Responsibilities:

Systems & Process Optimization

• Audit and improve SOPs and workflows.
• Build scalable systems inside Notion and operational tools.
• Create documentation, playbooks, and process frameworks.
• Identify inefficiencies and proactively implement solutions.
• Improve operational visibility and accountability across teams.

AI & Automation

• Design and implement AI-driven workflows and automations.
• Build Zapier integrations and operational automations.
• Reduce manual work through AI tools and workflow optimization.
• Research and implement tools that improve operational efficiency.

CRM & Operational Infrastructure

• Optimize workflows inside Follow Up Boss, HubSpot, or similar CRMs.
• Maintain CRM organization, pipeline visibility, and reporting systems.
• Build automated follow-ups, tagging systems, and dashboards.

Operations Support

• Support onboarding systems and operational coordination.
• Track recurring issues and improve operational processes.
• Help maintain smooth communication and execution across teams.

Qualifications & Skills:

Required

• Strong experience in operations, systems building, or process optimization.
• Experience with automations, AI tools, or workflow systems.
• Strong organizational and problem-solving skills.
• High ownership and ability to work independently.
• Strong written and verbal English communication.
• Comfortable working in fast-paced environments.

Nice to Have

• Real estate, hospitality, or STR experience.
• Experience with AI agents and advanced automations.
• Experience building dashboards, SOPs, or reporting systems.
