About the Job
The Inventory and Fixed Assets Manager is responsible for managing and maintaining the companys inventory and fixed assets, ensuring its timely tracking, accurate reporting, and correct valuation in compliance with accounting standards and company policies and methodologies.
Duties & Responsibilities
Ensure that PSACC follows proper inventory and fixed assets management, correct financial reporting, proper compliance/ execution of operating controls and deployment of adequate system management.
Inventory Management
- Ensure proper monitoring and maintenance of accurate inventory records.
- Conduct regular physical inventory counts and reconcile discrepancies.
- Implement and oversee inventory control procedures.
- Ensure inventory valuation methods are in compliance with accounting standards and as used by the company (e.g., FIFO).
- Prepare inventory-related reports and analyses for management.
- Coordinate with procurement and warehouse teams to manage inventory levels effectively.
Fixed Asset Management
- Maintain and update the fixed asset register in Sertica system.
- Track asset acquisitions, transfers, retirements, and disposals in Netsuite system.
- Ensure proper classification, coding, mapping and configuration of fixed assets by coordinating closely with MIS/OE team.
- Perform periodic physical verification of fixed assets.
- Calculate and record depreciation for all fixed assets.
- Prepare and maintain detailed records of fixed assets, including cost, accumulated depreciation, and net book value including any obsolescence or inventory damages.
- Ensure compliance with company policies and accounting standards (e.g., GAAP, IFRS).
Financial Reporting
- Facilitate the preparation of financial statements and reports related to inventory and fixed assets.
- Provide data and analysis for budgeting and forecasting activities.
- Support internal and external audits related to inventory and fixed assets.
- Ensure accurate and timely month-end and year-end close processes including ad-hoc reports and reconciliations.
Compliance and Control
- Establish, update and implement policies and procedures for inventory and fixed asset management.
- Ensure compliance with internal controls, policies, and regulations.
- Identify and mitigate risks associated with inventory and fixed asset management.
System Management
- Utilize accounting software and inventory management systems to track and report inventory and fixed assets (Netsuite, Sertica, etc).
- Ensure system data integrity and accuracy.
- Collaborate with MIS/OE/Supply and other departments to enhance system capabilities and improve processes.
Continuous Improvement
- Identify opportunities for process improvements and cost savings.
- Participate in cross-functional projects to optimize inventory and fixed asset management.
- Stay updated with industry best practices and changes in accounting standards.
Qualifications
- Bachelor's degree in Accounting
- Certified Public Accountant (CPA)
- Strong knowledge of accounting principles and standards (GAAP, IFRS).
- Proficiency in accounting software and inventory management systems.
- Excellent analytical and problem-solving skills.
- Attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
- Experienced using an accounting system, preferably knowledgeable with NetSuite or Sertica
- Proficient in Microsoft Office or similar software
- Ability to deal with changes effectively;
- Excellent communication skills (both written and verbal), organization, and planning skills, identify potential risks, and devise contingency plans.
- This position typically operates in an office environment but may require occasional visits to warehouses or other company facilities.
- May require occasional/periodic travel for physical inventory counts or asset verification to provincial branches/container yard facilities.
