Job Description

Role title Regional Training Coordinator

Role reports to Varies according to regions

Location of the post: Islamabad Office

Duration of temp contract: 3 months

Expected starting date: as soon as we are able to interview and identify the temp

Key accountabilities

PD event management

  • Manages the annual planning for PD courses (face-to-face and live virtual events) in their region, within budget and considering cost efficiency, to meet global planning deadlines.
  • Coordinates and distributes promotional materials in collaboration with regional marketing manager and Associate partners when applicable.
  • Coordinates all travel for face-to-face training events in their region including booking trainer flights, and transfers, assisting with visas and expenses.
  • Finds and contracts suitable venues to host the events. Coordinates with agreed venues to ensure printing, catering and room layout are as requested, in collaboration with the business development team and Associate partners when applicable.
  • In collaboration with the training materials team, coordinates the printing and distribution of all training materials for face-to-face and virtual events.
  • In collaboration with the trainer management team, identifies, contracts and briefs external consultants to deliver the courses in their region.
  • Organises and supports live virtual courses including live moderation.
  • Manages delegate bookings and queries through the booking system and ZenDesk.
  • Ensures all checklists and databases are updated regularly and communicates workload and RAG status of events with Professional Development Manager.
  • Ensures all post-event procedures are up to date including sending feedback to trainers and certificates to delegates.

PD event support

  • Provides support for training events, across delivery modes as directed, and other events such as conferences or recruitment events.

PD event reporting

  • Monitors PD costs and income for the region and reports to senior managers.

Process Improvement

  • Contributes to broader team working groups and process improvement work as agreed.
  • Reviews and makes recommendations based on feedback from surveys to inform improvements.

Professional Development team support

  • Provides support to the wider professional development team, as requested, to support the offer and growth of professional development in all regions.

What is the major impact of this role on the business?

PD events are the principal point of contact that has with their teachers. The quality and value of the experience is paramount to raising the profile of client. A high-quality Professional Development offer is fundamental to ensuring schools feel confident in their choice to join client and go on to effectively deliver our programmes and qualifications. As such, this role is fundamental to the growth in new schools, the retention of existing schools, and the projected increase in income for our organisation.

The Regional Training Coordinator has responsibility for implementing the PD plans in their region. The coordinator ensures the success of each event, focusing on a quality experience. This is business-critical in promoting the Client brand. The Regional Training Coordinator is responsible for each event, from initial planning through to completion and post event evaluation. They also represent Client as an ambassador, at regional training events, managing and answering customer questions and concerns. This role actively contributes to our strategic plan of reaching 100m learners and a revenue of £1.2b by 2026.

Decisions and Recommendations

The job holder is expected to make decisions in relation to:

  • Planning and delivering events, looking at cost efficiency, choosing venues and suitable transport and accommodation options for trainers.
  • Processing invoices and expenses claims, checking accuracy.
  • Managing and answering customer questions and concerns at training events, the face of Client.

The job holder is expected to make recommendations to their manager and others in the team in relation to:

  • The processes around training event planning and delivery and where to implement changes to improve the customer experience and quality of training events.
  • The selection of subjects for training events, the times of the year for training delivery and the logistic arrangements to inform the future training event planning.

Essential knowledge

Knowledge of Client products.

Awareness of the UK and international education systems.

Knowledge of principles of project management.

Essential skill(s) & experience

Skills:

Grade C or above in GCSE Maths and English (or equivalent)

A Level education (or equivalent)

Excellent English written and verbal communication skills for interaction with internal and external stakeholders (ability to work in Spanish and/or Portuguese would be an advantage).

Excellent organisation and prioritisation skills

Close attention to detail, including editing and proof reading

  • Flexibility and problem-solving skills
  • Ability to push forward multiple tasks and priorities
  • Ability to work independently as well as part of a team
  • Ability to produce project costings

Positive attitude and ability to work well under pressure and use initiative

Experience:

Previous experience of successful events coordination.

  • Previous experience in an international and/or educational institution and/or examinations board would be an advantage.
