We are seeking an extremely proficient, highly organised, and proactive Executive Personal Assistant to provide world-class support to a busy Chairman. This is not a traditional administrative role, it is a strategic position for someone who thrives in a fast-paced environment, anticipates needs before they arise, and operates with absolute professionalism, discretion, and efficiency. The successful candidate will become a trusted right hand to the Chairman, managing priorities, coordinating complex schedules, handling confidential information, and ensuring the seamless execution of both business and personal commitments.
Key Responsibilities:
- Manage an ever-changing and demanding executive calendar, prioritising meetings and commitments.
- Coordinate local and international travel, including flights, accommodation, visas, and detailed itineraries.
- Prepare meeting agendas, presentations, reports, and briefing documents.
- Screen calls, emails, and correspondence, ensuring prompt and appropriate responses.
- Act as the primary point of contact between the executive and internal and external stakeholders.
- Coordinate executive meetings, board meetings, and strategic planning sessions.
- Prepare minutes, action plans, and follow up on outstanding tasks.
- Manage confidential documents, contracts, and sensitive information with the highest level of discretion.
- Assist with project coordination and ensure deadlines are met across multiple initiatives.
- Liaise with clients, suppliers, and senior executives while maintaining exceptional professional standards.
- Anticipate the executive's needs and proactively resolve issues before they arise.
- Manage competing priorities while maintaining meticulous attention to detail.
- Organise events, functions, and corporate engagements.
- Track key deliverables and ensure accountability across stakeholders.
- Coordinate personal appointments and commitments where required.
- Handle special projects and ad hoc requests efficiently and professionally.
- Provide seamless support that enables the executive to focus on strategic priorities.
Personal Attributes:
- Minimum of 8–10 years' experience supporting senior executives, CEOs, or directors.
- Proven experience managing complex diaries, travel arrangements, and executive-level administration.
- Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Strong business writing, reporting, and presentation skills.
- Experience working in a fast-paced corporate environment will be highly advantageous.
- Operates with complete confidentiality and unquestionable integrity.
- Is exceptionally organised and can manage multiple priorities without missing deadlines.
- Thinks ahead, solves problems independently, and requires minimal supervision.
- Remains calm and professional under pressure.
- Has outstanding communication and interpersonal skills and can engage confidently with senior executives and high-profile stakeholders.
