We are looking for:

A highly organized, discreet, and proactive Personal Assistant to support the day-to-day operations of a high-net-worth individual and their Family Office. The ideal candidate will be hands-on, adaptable, and able to manage a variety of personal, administrative, and lifestyle-related tasks with a high level of professionalism and confidentiality.

Key Responsibilities:

  • Provide full personal assistance to the principal, including daily scheduling, calendar management, travel planning, and correspondence handling
  • Manage personal and household-related tasks such as bill payments, appointments, gifts, and errands
  • Act as a key point of contact for household staff, service providers, and vendors
  • Coordinate travel logistics: booking flights, accommodations, visas, and detailed itineraries
  • Handle confidential documents, maintain records, and manage filing systems (both digital and physical)
  • Support event planning and execution for private functions (dinners, trips, celebrations)
  • Assist with family-related tasks including school communications, healthcare appointments, and holiday arrangements
  • Liaise with the family office team on financial or legal tasks when required (e.g. signing documents, delivering information)
  • Ensure smooth day-to-day operations with a proactive can-do attitude
  • Be on-call for urgent matters outside standard working hours, if necessary

Key Requirements:

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role ideally within a family office or private household
  • Excellent organizational and multitasking skills, with strong attention to detail
  • High level of discretion and trustworthiness when handling sensitive information
  • Strong written and verbal communication skills
  • Tech-savvy and confident using MS Office, Google Workspace, apps for planning and communication
  • Proactive, solution-oriented, and calm under pressure
  • Ability to work independently and manage competing priorities
  • Flexibility with working hours and availability
  • Fluency in Russian and English, additional languages are a plus
  • Bachelors degree or relevant qualification
  • Valid driving license (if needed for errands)
