Job Summary:

We are seeking a highly motivated and organized Group Sales Coordinator to join our team. In this role, you will be responsible for coordinating and managing groups and sales, ensuring a seamless and enjoyable experience for our guests. You will work closely with the sales team, hotel staff, and external partners to ensure the success of group events and bookings.

Key Responsibilities:

Act as the main point of contact for groups and sales inquiries

Coordinate and manage group bookings, including room blocks, meeting spaces, and special requests

Work closely with the sales team to identify potential group business and develop strategies to attract and retain group clients

Build and maintain relationships with external partners such as event planners, travel agents, and corporate clients

Prepare and distribute group contracts and proposals, ensuring accuracy and timely delivery

Collaborate with hotel staff to ensure all group needs and requests are met, including special arrangements, room set-up, and catering

Monitor and track group reservations and revenue, providing regular reports to the sales team and management

Assist with on-site coordination of group events, ensuring a seamless and memorable experience for guests

Stay up-to-date with industry trends and competitors' offerings to inform sales strategies and identify potential opportunities

Provide exceptional customer service to group clients, addressing any issues or concerns in a timely and professional manner

  • Has working knowledge in preparing all client contracts and full accounting of all deposit/payments
  • Working knowledge of relevant computer systems according to specifications, specially microsoft office, ACIHotel, SynXis and other systems/extranets

Qualifications:

Diploma/Associate degree or equivalent in a related field

Minimum of 2 years of experience in group sales or event planning, preferably in the hospitality industry

Strong communication and interpersonal skills, with the ability to build and maintain relationships with clients and partners

Excellent organizational and time-management skills, with the ability to prioritize and multitask in a fast-paced environment

Proficient in Microsoft Office and experience with sales and reservation software

Knowledge of the local market and industry trends

Ability to work flexible hours, including evenings and weekends, as needed
