As a Weddings Sales Coordinator you will be at the forefront of creating extraordinary wedding experiences for our clients. Your role involves working closely with couples to understand their vision, coordinating details, and ensuring that every aspect of their special day aligns seamlessly with their expectations and our hotel's standards of excellence.

Key Responsibilities:

  1. Act as the initial point of contact for wedding inquiries, responding promptly and providing detailed information about our wedding offerings. 
  2. Schedule and conduct site tours to showcase our event spaces and answer clients' questions. 
  3. Collaborate with clients to understand their preferences, needs, and budget, crafting customized wedding proposals that meet their requirements.
  4. Present proposals professionally and guide clients through the available options. 
  5. Work closely with the Weddings Manager and event planning team to translate client preferences into detailed event plans. 
  6. Coordinate all logistical aspects, including guest counts, menu selections, décor, and entertainment.
  7. Liaise with vendors to secure services and products required for weddings, negotiating terms, and confirming bookings.
  8. Ensure that vendors are aligned with clients' preferences and hotel standards.
  9. Prepare accurate contracts and agreements based on agreed-upon terms, ensuring all parties are well-informed and aligned.
  10. Maintain open and clear communication with clients throughout the planning process, providing updates and addressing inquiries promptly.
  11. Keep comprehensive records of all client interactions, event details, contracts, and communication history.
  12. Ensure that all necessary documents are prepared, signed, and stored appropriately.
  13. Strive to exceed client expectations by delivering impeccable service, addressing concerns, and ensuring a smooth planning experience.

Qualifications and Skills:

  • High school diploma or equivalent (relevant certifications in event planning or hospitality a plus).
  • Previous experience in event coordination, wedding planning, or sales is advantageous.
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication abilities.
  • Proficiency in event planning software, CRM systems, and Microsoft Office applications.
  • Customer-focused mindset with strong interpersonal skills.
  • Creative thinking and problem-solving abilities.
  • Flexibility to adapt to changing priorities and manage multiple tasks.
