About the job Kitchen Administrative Assistant
Responsibilities:
- Maintain and organize kitchen-related documents, including inventory lists, purchase orders, invoices, and recipes. Update and manage databases or systems for accurate and up-to-date records.
- Assist in scheduling kitchen staff shifts, ensuring adequate coverage during peak times and special events. Coordinate with other departments, such as housekeeping or banquet services, to ensure smooth operations and timely delivery of food.
- Monitor kitchen inventory levels, track stock, and place orders for supplies, ingredients, and equipment as needed. Collaborate with vendors and suppliers to ensure timely deliveries and negotiate pricing when necessary.
- Assist in tracking kitchen expenses and budgets, including food costs, equipment maintenance, and staffing expenses. Provide regular reports to management, highlighting any significant variations or areas of concern.
- Facilitate effective communication between kitchen staff, management, and other departments. Respond to inquiries, emails, and phone calls promptly and professionally. Distribute relevant information and updates to the kitchen team as required.
- Assist in maintaining compliance with health and safety regulations and kitchen hygiene standards. Monitor and document temperature logs, cleanliness inspections, and pest control measures. Coordinate regular training sessions on food handling and safety procedures.
- Administrative Support: Assist the kitchen management team with administrative tasks, such as drafting and proofreading documents, preparing reports and presentations, organizing meetings, and taking minutes.
- Provide general support to the kitchen team, including organizing staff meals, maintaining staff records, and assisting with employee onboarding or training processes.
Skills and Qualifications:
- Must be able to communicate, read, write, and speak English effectively.
- High level of organization needed with the ability to multi-task and work in a fast-paced environment.
- Make independent decisions while maintaining strong ethical standards consistent with company policy, rules, and the ability to maintain confidential information.
- Ability to effectively deal with internal and external guests, some of whom will require high levels of patience, tact, and diplomacy to defuse anger.
- Must be able to thrive in a fast-paced, energetic environment that is constantly changing based on room occupancy and group business.
Education and Experience Requirements:
- High school diploma or equivalent education required
- 1 year of administrative assistant experience
- Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
