As an Administrative Assistant in the Housekeeping Department at our esteemed hotel, you will be a key support figure for the housekeeping team and management. Your organizational skills and attention to detail will be essential in coordinating various administrative tasks, ensuring smooth operations within the department. Your role will involve handling paperwork, scheduling, and providing vital assistance to the Housekeeping Manager and team members, contributing to the overall efficiency and success of the department.

Responsibilities:

  1. Maintain accurate and up-to-date records related to housekeeping activities, including room status, maintenance requests, and inventory levels.
  2. Create and organize files, reports, and correspondence to facilitate efficient data retrieval.
  3. Assist in coordinating work schedules for housekeeping staff, considering occupancy levels and special requests.
  4. Monitor attendance, track working hours, and ensure that timesheets are completed accurately.
  5. Act as a point of contact between the housekeeping department and other hotel departments, relaying information and requests as necessary.
  6. Respond to internal and external inquiries via phone, email, or in-person with a professional and courteous manner.
  7. Assist in managing housekeeping supplies and equipment inventory, ensuring that stock levels are adequate and orders are placed as needed.
  8. Prepare various reports on housekeeping activities, such as room occupancy, cleanliness audits, and staff performance, for presentation to management.
  9. Assist in coordinating and scheduling training sessions for housekeeping staff, ensuring that they receive necessary updates and skills development.
  10. Provide general administrative support to the housekeeping manager and team members, assisting with any ad hoc tasks or projects as required.
  11. Assist in maintaining records related to safety training and equipment maintenance within the department.

Requirements:

  1. High school diploma or equivalent; additional education or training in office administration is a plus.
  2. Proven experience as an administrative assistant or in a similar role is preferred.
  3. Proficiency in office software, such as Microsoft Office (Word, Excel, PowerPoint) and email management.
  4. Excellent organizational and time-management skills to handle multiple tasks efficiently.
  5. Strong communication skills and the ability to interact with team members and other departments professionally.
  6. Attention to detail and accuracy in data entry and record keeping.
  7. Flexibility to work different shifts, including evenings, weekends, and holidays, as needed.
