Job Title: Executive Stores
Location: Jakarta Selatan, Indonesia
Reports To: Project Accountant / Store-Keeper
Job Summary:
Detail-oriented and reliable Stores Assistant with over 5 to 10 years of experience in construction project management and inventory control. Skilled in managing materials and supplies, maintaining accurate stock levels, and ensuring smooth day-to-day operations within construction sites. Proficient in logistics coordination, stock organization, and using inventory management software. Proven track record of supporting project teams and contributing to the efficiency and timely completion of projects. Negotiating with vendors and making comparison statement for the procurement of materials. Hands on experience in handling ERP system and MS-Excel and Word.
Key Responsibilities:
1.Inventory Management and Stock Control
Maintain Stock Levels: Regularly monitor and manage the stock of materials, tools, and equipment used on-site, ensuring that there is no shortage or excess.
Stock Replenishment: Work closely with the procurement team to request new supplies and materials before stock runs out.
Stock Audits: Conduct periodic stock takes and inventory checks to ensure that all materials are accounted for and match system records.
Stock Rotation: Implement a First In, First Out (FIFO) or Last In, First Out (LIFO) system to reduce wastage, particularly with perishable or time-sensitive materials.
2. Material Issuance and Distribution
Issue Materials: Issue materials, tools, and equipment to site workers or supervisors, ensuring that the correct quantities and types are provided based on project requirements.
Track Material Usage: Maintain records of materials issued, ensuring that the correct quantity and condition of materials are logged and tracked to prevent wastage and loss.
Provide On-Demand Materials: Respond to requests for urgent materials and ensure they are delivered promptly to avoid delays on the construction site.
3. Supplier Coordination and Delivery Management
Coordinate Deliveries: Liaise with suppliers to ensure that materials are delivered on time and as per the projects schedule. Track incoming shipments and notify the relevant personnel upon arrival.
Inspect Deliveries: Check the quality, quantity, and condition of incoming materials to ensure they meet project requirements and are free from damage.
Manage Returns: Handle any discrepancies in delivered goods, such as defective or incorrect items, and process returns or exchanges promptly.
4. Storage and Organization of Materials
Ensure Safe Storage: Ensure that all materials are stored in compliance with safety regulations (e.g., hazardous materials stored correctly) and that the storage areas are organized, safe, and clean.
Optimize Space: Organize materials efficiently to maximize available space and ensure that items are easily accessible for site workers.
Protect Materials: Ensure that materials and equipment are stored in a manner that prevents damage from the elements, theft, or mishandling.
5. Documentation and Record-Keeping
Update Inventory Records: Maintain accurate records of all materials received, issued, and returned. This includes updating digital or manual logs, inventory management systems, and tracking project-related materials.
Material Requisition Forms: Complete material requisition forms for materials that need to be ordered or replenished.
Report Discrepancies: Report any stock discrepancies (e.g., missing or damaged items) to supervisors or management and investigate causes.
Provide Reports: Provide regular reports on inventory status, material usage, and potential shortages to project managers or site supervisors.
Qualifications and Requirements:
Bachelors degree in accounting, Finance, or a related field;
Minimum of 5 to 10 years of experience in handling stores in large construction projects in Indonesia / overseas.
Strong knowledge of Indonesian tax laws and regulations.
Proficiency in ERP systems & MS-Excel , Word & power point.
Excellent analytical, problem-solving, and decision-making skills.
Strong communication and leadership abilities.
Ability to work under pressure and meet tight deadlines.
Fluency in English and Bahasa Indonesia.
