Job Title: Design Coordinator cum EDMS Manager
Location: Jakarta, Indonesia
Reports To: Project Manager/ Technical Director
Job Summary: The Design Coordinator cum EDMS Managers role will involve coordinating design activities across multiple Subsystems, ensuring that designs meet all relevant standards, timelines, and requirements and in line with Design Submission Programmer. Additionally, he/she will be responsible for managing the Electronic Document Management System (EDMS) in Bentley System to ensure efficient document control, storage, retrieval, and archiving. Additionally, The ideal candidate will possess a strong understanding of both document management and design coordination, and knowledge of Railway Systems (Underground Metro) with a keen eye for customer Satisfaction
Key Responsibilities:
- Design Coordination:
- Act as the main point of contact between the Design team, Subsystem managers, and other stakeholders (internal/ external).
- Coordinate and manage the flow of design information, ensuring that all designs are reviewed, approved, and distributed, reviewed by the Engineer in a timely manner.
- Work closely with design teams to ensure that all project designs are consistent with Contract specifications and applicable standards.
- Monitor design progress and identify potential issues or delays, working with the design team to develop solutions. Ensure that all documents and designs meet the required quality standards. Conduct regular audits of design documents to ensure compliance
- Organize and facilitate design meetings, including preparation of agendas, documentation, MOMs and follow-up on action items.
- Ensure that design changes are documented and communicated to Contracts & Claims team
- Liaise with external consultants, contractors, and other stakeholders to ensure design requirements are met.
- Implement quality control processes to identify and address any discrepancies in design documentation.
- EDMS Management:
- Implement and maintain the Electronic Document Management System (EDMS) to manage project documentation efficiently as per EDMS/ BIM requirement of MRT Jakarta Project. He/She will be face to the customer as EDMS Manager
- Collaborate with Interface & BIM team/Design team for all subsystems of CP205 Project such as Trackwork, Substation System, OCS,PDS, S&T, PDS, F-SCADA etc.
- Develop, implement, and maintain document control procedures in alignment with industry standards and MRT Jakarta requirements.
- Ensure that all documents are properly classified, stored, and accessible to relevant stakeholders.
- Oversee the timely and accurate distribution of documents to project teams and other stakeholders.
- Provide training and support to team members on the use of the EDMS tools.
- Collaborate with IT/ MRTJ/OCG/Bentley team to troubleshoot and resolve any EDMS-related issues.
Overall, the candidate has to Collaborate with project managers, Design team, Interface & BIM team, and other stakeholders to ensure seamless project execution. Communicate effectively with all stakeholders to ensure that project requirements and expectations are clearly understood and met. Prepare and present regular reports on document management and design coordination activities to senior management.
Qualifications:
- Bachelors degree in engineering, Architecture, Construction Management, or a related field.
- 7+ years of experience in document management and design coordination, preferably in the railway Systems or engineering/ Construction industry.
- Knowledge of Railway Systems ( Power, Signaling , Telecom, SCADA) & Track works
- Proficiency in using EDMS software (e.g., Aconex, ProjectWise, SharePoint) and design tools (e.g., AutoCAD, Revit).
- Strong understanding of document control processes, industry standards, and best practices.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills.
- Ability to work both independently and as part of a team.
- Familiarity with project management principles and methodologies is a plus.
Work Environment:
- This position may require occasional travel to project sites.
- The role will involve both office-based and on-site work, depending on project needs.
