About the job Payroll Specialist
The Payroll Specialist is responsible for the accurate and timely end-to-end processing of payroll for employees in the Philippines. This role ensures compliance with Philippine labor laws, tax regulations, and statutory requirements while maintaining payroll accuracy, confidentiality, and excellent employee support. The position manages payroll calculations, government remittances, tax reporting, final pay processing, payroll reconciliations, and audit support within a fast-paced BPO, shared services, or multinational environment.
Key Responsibilities
Payroll Administration
- Process end-to-end payroll on a weekly, semi-monthly, or monthly schedule.

Ensure accurate computation of:
- Basic salary
- Allowances and incentives
- Overtime pay
- Night Shift Differential (NSD)
- Holiday and Rest Day Premium Pay
- Shift differentials
- Bonuses and commissions
- Salary adjustments
- Leave conversions and payroll deductions
- Validate payroll data and ensure payroll is processed within established timelines.
- Maintain payroll records and supporting documentation.
Philippine Payroll Compliance
- Ensure payroll processing complies with the Philippine Labor Code and company policies.

Accurately compute and process:
- Regular Holiday Pay
- Special Non-Working Holiday Pay
- Overtime Premiums
- Night Shift Differential
- Rest Day and Holiday Premiums
- Correctly apply payroll rules for absences, tardiness, leaves, and unpaid time.
Tax and Statutory Compliance
- Calculate and withhold employee income taxes.
- Prepare payroll tax reports and statutory filings.

Ensure timely remittance of:
- BIR Withholding Taxes
- SSS Contributions
- PhilHealth Contributions
- Pag-IBIG Contributions
- Reconcile payroll tax accounts and statutory liabilities.
- Support annual tax reporting, including preparation and distribution of BIR Form 2316.
Final Pay Processing
- Process employee final pay for resignations, terminations, retirements, and end-of-employment cases.

Compute:
- Final salary
- Separation pay
- Leave conversions
- Tax adjustments
- Government contribution adjustments
- Coordinate employee clearance with HR and other departments.
- Ensure compliance with legal timelines for final pay release.
Payroll Reporting and Reconciliation
- Perform payroll reconciliations and variance analysis.
- Prepare payroll reports for Finance, HR, and Management.
- Support payroll accruals and month-end/year-end closing activities.
- Assist during internal and external payroll audits.
Employee Support and Process Improvement
- Respond to employee inquiries related to payroll, taxes, deductions, and government contributions.
- Coordinate with payroll vendors, government agencies, and internal stakeholders.
- Participate in payroll system implementations, testing, and process improvement initiatives.
- Stay updated on changes in Philippine payroll regulations and statutory requirements.
Qualifications
Education
- Bachelor's Degree in Accountancy, Finance, Business Administration, Human Resources, or a related field.
- Certified Payroll Professional (CPP) or equivalent payroll certification is an advantage.
Experience
- Minimum of 3–5 years of Philippine payroll processing experience.
- Experience in a BPO, Shared Services, multinational, or large corporate environment is preferred.
- Experience processing payroll for medium to large employee populations.

- Final pay and separation pay processing
- Experience in the US Healthcare industry is an advantage.
