About the Role

We're looking for a highly detail-oriented and experienced Retail Operations & Data Specialist to take ownership of product data, retailer onboarding, documentation, ERP/EDI projects, and other operational requirements associated with selling into major retailers.

This is not an entry-level role. We're looking for someone who has ideally worked within CPG, FMCG, food, or a similar product-based business and understands the level of accuracy required when working with large retailers, distributors, 3PLs, and supply chain partners. You should be comfortable taking a project or operational requirement, understanding what needs to happen, gathering the necessary information, and driving it through to completion with minimal hand-holding.

Work Structure & Requirements

  • Location: Remote / Virtual
  • Schedule: Part-time to start (approximately 20 hours per week), with strong potential to progress into a full-time role, HK Timezone
  • Opportunity: Long-term position working with an international business operating across the US, Europe, and Asia
  • Compensation: 10 USD per hour

Key Responsibilities

1. Product Master Data Management

  • Manage and maintain accurate product master data including SKUs, UPCs/GTINs, barcodes, case configurations, dimensions, weights, ingredients, and other product specifications
  • Review product and packaging information for accuracy, including ingredient information and multilingual requirements
  • Maintain organized and accurate product information across internal databases, retailer portals, and operational documents
  • Maintain clear file structures, documentation, and internal systems so information can be easily accessed and updated

2. Retailer Onboarding & Account Administration

  • Complete retailer new vendor, new item, and product setup forms accurately and on time
  • Support onboarding and ongoing administration for major US and European retail accounts
  • Review retailer requirements and ensure all necessary operational documentation is completed correctly
  • Support the completion of retailer-specific compliance forms, portals, templates, and documentation

3. ERP & EDI Support

  • Support the implementation and ongoing maintenance of the company's ERP system
  • Assist with EDI setup and coordination, working with external EDI partners, retailers, and internal stakeholders
  • Prepare and organize the data required for ERP migration, integration, and system setup

4. Logistics & Supply Chain Documentation

  • Help manage product, logistics, and supply chain documentation for US import and 3PL operations
  • Coordinate information between suppliers, factories, 3PLs, retail partners, and internal stakeholders
  • Track and manage inbound documentation requirements to keep operations on schedule

5. Compliance & Risk Management

  • Identify missing, inconsistent, or incorrect information before it creates downstream issues
  • Proactively flag potential compliance, data, or operational issues that could lead to retailer delays, chargebacks, or penalties

Required Skills & Experience

  • Experience: 3+ years in operations, retail operations, supply chain, or product data — CPG, FMCG, food, beverage, or confectionery experience strongly preferred
  • Retail Knowledge: Experience supporting brands selling into major US retailers is highly advantageous; familiarity with retailer onboarding, item setup, vendor portals, and retailer documentation
  • ERP & EDI: Experience working with ERP systems and managing detailed product or inventory data; understanding of EDI and experience supporting EDI implementations is highly preferred
  • Tools: Strong Excel and/or Google Sheets skills
  • Communication: Strong written and spoken English; confident communicating with external vendors, retailers, logistics partners, and internal stakeholders
  • Profile: Exceptional attention to detail, naturally methodical, proactive problem solver — identifies what is missing rather than waiting to be told what to do; comfortable handling large quantities of product information without sacrificing accuracy
