POSITION SUMMARY:

The Construction Billing and Contract Specialist will manage project billing, contract setup, pre-qualification submissions, and related compliance documentation. This position requires a detail-oriented, proactive professional with strong organizational skills who can handle overlapping responsibilities and assist in cross-training for billing and contract duties.

DUTIES AND RESPONSIBILITIES:

  • Project Billing: Prepare and submit monthly project invoices and billing packages, including AIA billing documents (G702/G703).
  • Change Orders: Track, document, and ensure approved change orders are incorporated into billing schedules and contracts.
  • Compliance Documentation: Collect and maintain lien waivers, insurance certificates, and related documents.
  • Customer Setup: Create and maintain customer profiles, ensuring accuracy in contract, billing, and tax details.
  • Pre-Qualification: Coordinate and submit pre-qualification packages for general contractors and customers.
  • Contract Setup: Review and maintain contracts, subcontracts, and purchase orders, ensuring documentation accuracy.
  • Collections: Monitor accounts receivable aging reports, follow up on overdue invoices, and resolve payment issues.
  • Cross-Training: Collaborate with team members to identify and standardize process improvements.


EXPERIENCE:

  • Education: Bachelor's degree in Accounting, Business Administration, or related field.
  • Experience: 2+ years of construction billing and/or construction contract administration experience; Familiarity with AIA billing, lien waivers, change order and construction industry terminology
  • Technical Skills: Proficiency in construction ERPs, project management and billing software (e.g., Sage Intacct, Procore, or similar); Strong Excel skills and familiarity with construction workflows.
  • Knowledge: Understanding of general contractor/subcontractor relationships and contract management processes; Multistate (US) construction projects and billing compliance.
  • Soft Skills: Excellent attention to detail, problem solving abilities, organizational mindset, and communication skills.
