Role Overview:

The Executive Assistant (EA) will be responsible for optimizing the clients daily work life, improving communication, and ensuring seamless coordination between clients, internal teams, and personal responsibilities. The ideal candidate will be proactive, strategic, and highly organized, capable of anticipating needs and taking initiative to drive efficiency and success.

Key Responsibilities:

Calendar & Email Management:

  • Organize and manage email communications, ensuring prompt and effective responses.
  • Oversee and optimize calendar management, scheduling appointments, meetings, and travel efficiently.
  • Ensure seamless coordination of both professional and personal commitments.

Client Relations:

  • Serve as a gatekeeper, ensuring client inquiries are directed to the appropriate teams before reaching the client.
  • Provide exceptional service by resolving issues, following up on communications, and ensuring smooth client interactions.
  • Proactively engage with clients, understanding their needs and helping implement solutions.

Team Collaboration:

  • Work closely with internal teams to ensure seamless execution of tasks and projects.
  • Delegate and oversee assignments, ensuring timely completion and efficiency.
  • Foster a collaborative and positive work environment, enhancing team engagement.

Forward-Thinking & Problem-Solving:

  • Anticipate the clients needs, proactively planning and managing upcoming priorities.
  • Identify areas for improvement, offering strategic solutions to enhance efficiency.
  • Act as a problem-solver, taking initiative to handle challenges independently.

Administrative Support:

  • Handle a variety of administrative tasks, removing time-consuming duties from the clients workload.
  • Ensure high-quality support with attention to detail and a strong understanding of overall business objectives.
  • Maintain professionalism in all interactions, upholding a positive and solutions-driven approach.

Key Skills & Qualifications:

Communication Expertise:

  • Exceptional written and verbal English communication skills.
  • Ability to interpret both direct messages and the broader context of communications.
  • Proactive and confident in taking the lead on key communications.

Experience & Technical Proficiency:

  • 3+ years as an Executive Assistant supporting C-level executives.
  • Strong expertise in Microsoft Office Suite, Google Workspace, and productivity tools.
  • Familiarity with project management software (e.g., Asana) is a plus.
  • Background in marketing, agency work, or client-facing industries is advantageous.
