The primary role of this position is to ensure the efficient management of both accounts payable and receivable processes, aligned with service levels and contractual requirements. The supervisor will oversee invoice scanning, coding, approvals, vendor payments, reconciliations, and the timely and accurate processing of both customer collections and invoice disputes. The ideal candidate must have strong leadership skills, attention to detail, and a deep understanding of AP/AR processes in an outsourcing environment.

Requirements:

  • Proven experience (over 5 years) in accounts payable or a similar financial role, and at least 2 years in a supervisory or leadership position managing groups of 10-15 people.
  • Knowledge of US Generally Accepted Accounting Principles (GAAP).
  • Bachelors degree in accounting, finance, or a related field.
  • Thorough knowledge of accounts payable principles, practices, and procedures.
  • Proficiency in accounting software and ERP systems, with advanced Excel skills.
  • Strong analytical and problem-solving skills to address complex payment issues, discrepancies, and process deficiencies.
  • Excellent attention to detail and accuracy, with the ability to work efficiently under tight deadlines.
  • Strong leadership and interpersonal skills, with the ability to communicate and collaborate effectively with stakeholders at various levels.
  • Proven track record of driving process improvements, optimizing accounts payable operations, and managing vendor relationships.
  • In-depth understanding of financial controls, compliance, and regulatory requirements related to accounts payable.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.

Responsibilities:

Service Delivery Management

  • Review, process, and approve invoices, ensuring compliance with company financial policies, procedures, and controls.
  • Verify invoice accuracy, proper documentation, approvals, and general ledger coding.
  • Coordinate with vendors, internal suppliers, and internal stakeholders to resolve payment discrepancies, invoice disputes, and other accounts payable-related issues.
  • Oversee and enforce adherence to payment deadlines, discounts, and contractual agreements with vendors.
  • Perform regular audits and reviews of accounts payable transactions to ensure compliance with regulatory requirements and internal controls.
  • Support team leaders by acting as a backup.
  • Ensure that the scope of services assigned to the account is completed accurately, on time, and within productivity standards.
  • Develop and maintain relationships with key vendors, negotiate favorable payment terms and discounts, and resolve supplier-related issues.
  • Participate in month-end and year-end closing processes, including preparing accruals, reconciling accounts payable transactions, and generating financial reports.
  • Ensure timely and accurate submission of 1099 reports and compliance with tax regulations.
  • Support internal and external audits, providing necessary documentation, addressing audit inquiries, and ensuring audit compliance.

Service Delivery Management

  • Oversee the daily operations of the accounts receivable department, including invoice generation, payment posting, and collection activities.
  • Ensure timely and accurate billing and invoicing, reviewing invoices for accuracy, completeness, and compliance with company policies and client requirements.
  • Monitor aging accounts receivable and take necessary actions to minimize late payments, including initiating collection efforts and coordinating with relevant stakeholders.
  • Review and reconcile the accounts receivable sub-ledger with the general ledger, investigating and resolving any discrepancies or issues.
  • Support team leaders by acting as a backup.
  • Ensure that the scope of services assigned to the account is completed accurately, on time, and within productivity standards.
  • Support internal and external audits by providing necessary documentation, addressing audit inquiries, and ensuring audit compliance.
  • Collaborate with cross-functional client teams, such as sales, operations, and finance, to resolve billing or payment issues and provide excellent customer service.

Team Leadership

  • Supervise and lead the accounts payable team, providing guidance, training, and performance feedback to ensure efficient and accurate invoice and payment processing while promoting professional development and adherence to best practices.
  • Oversee the daily operations of the accounts payable department, including task assignment, workload management, and prioritization.
  • Maintain employee turnover levels within target for the accounts in scope.
  • Oversee client communications and ensure proper distribution to staff.
  • Participate in hiring and onboarding new team members, fostering a positive and productive work environment.

Operational Management

  • Oversee and approve various financial and accounting activities, including preparing reports and statistical data detailing operational results.
  • Ensure compliance with productivity and quality goals for the teams in scope.
  • Work with client operational peers to understand daily/weekly/monthly assignments and ensure timely and accurate delivery.
  • Assist in developing and implementing accounts payable policies, procedures, and controls to improve efficiency, accuracy, and compliance.

Account Management

  • Support and provide subject matter expertise in monthly service review meetings with clients.
  • Consistently support the achievement of client service level agreements and maintain Net Promoter Score (NPS) targets.

Innovation Agenda

  • Support the implementation of operational analytics platforms and innovative technologies aimed at improving efficiency and organization.
  • Analyze accounts payable data, identify trends, and provide insights to management on cost-saving opportunities, process improvements, and financial reporting.
  • Stay updated on industry trends, emerging technologies, and regulatory changes related to accounts payable, and recommend and implement process improvements accordingly.
  • Identify and implement opportunities for automation and digitalization to streamline accounts payable processes, reduce manual efforts, and improve productivity.
