Assistant Executive Secretary

 Job Description:

Job Duties:

  • Manage the CEOs work calendar and personal schedule, prioritizing, scheduling, and confirming meetings and personal events.
  • Work closely with the Senior Personal Assistant to the CEO to be well-informed of upcoming commitments, responsibilities, and follow-up.
  • Take and record minutes at various management meetings.
  • Translate Thai English [vice versa] documents.
  • Organize and prepare for agenda, meetings, documents for approval and consideration, and presentations.
  • Coordinate between parties to follow up on the reports and remaining tasks.
  • Make appointments, travel arrangements, and reimbursement.
  • Assist in project planning for related company / personal events.
  • Ad hoc projects
  • Run errands out of the office as needed.

Skills and Qualifications:

  • Master's or Bachelor's Degree in any related.
  • 3-5 years of experience in secretary function, providing support to C-level.
  • Fluency in Thai
  • English (MUST be comfortable to communicate, read and write in English)
  • Communication skills.
  • Scheduling and organization.
  • Microsoft Office Skills (some analytical skills on Excel preferred).
  • Professionalism.
  • Confidentiality and ability to maintain sensitive information.
  • Travel Logistics.
  • Attention to detail.
  • A strong understanding of executive relationships and their respective preferences.
