We are seeking a highly organized and proactive Secretary to support the Chief Operating Officer (COO) of a leading robotics company in Dubai. The ideal candidate will be a multitasker with a strong understanding of R&D, production, inventory management, and warehouse operations. This role requires exceptional administrative skills, attention to detail, and the ability to coordinate across multiple departments.

Key Responsibilities:

  • Executive Support: Manage the COOs schedule, meetings, and travel arrangements.
  • Communication: Strong email drafts, reports, and presentations with clarity and professionalism.
  • R&D Coordination: Assist in tracking research projects, documentation, and liaising with technical teams.
  • Production Oversight: Support operational planning, ensuring smooth workflow between departments.
  • Inventory & Warehouse Management support: Maintain records, track stock levels, and coordinate logistics.
  • Stakeholder Engagement: Act as a point of contact for internal teams and external partners.
  • Data & Reporting: Compile and analyze operational data to support decision-making.
  • Confidentiality: Handle sensitive information with discretion and professionalism.
  • Follow-up task assigned to guarantee completion.

Qualifications & Skills:

  • Experience: 3+ years in a similar role, preferably in a technology or robotics company.
  • Education: Executive Assistance, Office Administration, or Secretarial Studies, Office Management is a plus.
  • Technical Knowledge: Familiarity with R&D processes, production workflows, and inventory systems.
  • Software Proficiency: Experience with ERP systems, Microsoft Office Suite Advanced skills in Word, Excel, PowerPoint, and Outlook for document creation, data analysis, and communication and project management tools.
  • Shared Drive Management Organizing and maintaining files on platforms like Google Drive, OneDrive, or SharePoint.
  • Strong Multitasking Abilities: Ability to manage multiple priorities efficiently.
  • Excellent Communication Skills: Fluent in English; Arabic is a plus.
  • Detail oriented: ensure attention to detail and completion of tasks.
