Job Description:

Location: Ara Damansara, Petaling Jaya

Job Type: Full-time

Objectives of this role:

  • Maintain constant communication with managers, staff, and customer to ensure proper operations of the company.
  • Increase the efficiency of existing processes and procedures to enhance the company's internal control to avoid leakages.
  • Ensure that operational activities are within the deadline and budget.
  • Track staffing requirements, hiring new employees as needed.

Responsibilities

  • Work closely with the finance & admin departments to ensure all activities are compliant with financial, administrative, and legal standards.
  • Manage office discipline and ensure the smooth running of office operations, maintaining a productive work environment.
  • Manage day-to-day HR-related and employee-related data, ensuring accurate and timely attendance management and personnel information data are within the PDPA standard.
  • Manage onboarding and offboarding of employees, creating a seamless transition for new hires and departing staff & reporting to the clients.
  • Engage with staff, including conducting monthly one-on-one calls with all employees and managing client relationships to ensure satisfaction and retention.
  • Managed HR administrative support, managing travel visas, government license applications, salary surveys, preparing offer letters, and other related documentation.
  • Manage employee insurance benefits and claims, consulting with appointed insurance brokers to ensure comprehensive coverage for all staff.
  • Analyse and generate required HR reports for management decision-making, supporting strategic planning and operational adjustments.
  • Ensure data compliance across all operations, implementing standards for data handling, storage, and processing to meet regulatory and company requirements.
  • Ensure all licensing and certification requirements are 100% compliant, including keeping up with MDEC & FKWs requirements to meet the governmental requirement.

Required Skills and Qualifications

  • 4- 6 years of proven success in an operations management role.
  • Excellent ability to delegate responsibilities while maintaining operations and customer service.
  • Proficiency in conflict management and business negotiation processes.
  • Knowledge of business software such as HRMS & Payroll and an aptitude for learning new applications to improve productivity and process.

Qualifications

  • Bachelors degree (or equivalent) in operations management, business administration, or related field
  • Working knowledge of management software programs such as HRMS & Payroll system
  • Strong IT skills, including database development.
  • Ability to communicate precisely.
