Job Overview: The Operations Manager for a Health Solutions company is responsible for overseeing and managing the daily operations within the organisation. This role ensures that healthcare services are delivered efficiently, in compliance with health and safety standards, and meet the needs of clients and patients. The Operations Manager collaborates with various departments, including clinical teams, IT, customer service, and finance, to improve service delivery, patient outcomes, and operational efficiency.
Key Responsibilities:
1. Operational Strategy & Healthcare Services Management: Develop and implement strategies to optimise service delivery in healthcare settings (e.g., hospitals, clinics, telehealth platforms). Align operations with the companys mission of improving health outcomes and delivering high-quality care solutions. Collaborate with medical staff, health administrators, and IT to streamline healthcare processes and ensure seamless service delivery. Monitor healthcare trends and implement new practices or technologies to enhance service offerings.
2. Process Improvement & Efficiency: oIdentify and implement process improvements that enhance operational workflows, reduce inefficiencies, and improve the quality of patient care. Introduce Lean or Six Sigma methodologies to improve operational outcomes and reduce costs without compromising the quality of care. Analyze data on operational performance, patient satisfaction, and health outcomes to inform decision-making and drive continuous improvement.
3. Compliance & Risk Management: Ensure compliance with healthcare laws, regulations, and accreditation standards (e.g., HIPAA, Joint Commission). Oversee risk management strategies to mitigate legal and operational risks in healthcare delivery. Ensure that all medical records, patient data, and healthcare services adhere to data privacy regulations and safety standards. Develop and implement policies related to health and safety, infection control, and quality assurance.
4. Team Leadership & Development: Lead, supervise, and mentor a cross-functional team that includes healthcare providers, administrative staff, and technical personnel. Ensure that staff are well-trained and equipped to provide high- quality care services, including the use of new technologies and systems. Foster a culture of collaboration and accountability across teams, promoting a patient-first mindset.
5. Resource Allocation & Logistics in Healthcare: Ensure the effective allocation of resources such as healthcare professionals, equipment, and supplies across departments or service lines. Manage relationships with suppliers, healthcare vendors, and third- party service providers to ensure timely delivery of medical supplies and services. Oversee inventory management of medical equipment, pharmaceuticals, and other healthcare resources, ensuring optimal usage and reducing wastage.
6. Client and Patient Satisfaction: Collaborate closely with customer service and patient care teams to ensure a high level of patient satisfaction and positive patient experiences. Address any patient concerns, complaints, or issues with healthcare services and work to resolve them in a timely and satisfactory manner. Collect and analyze patient feedback to identify areas for improvement in healthcare service delivery.
7. Technology & Healthcare Solutions Integration: Oversee the integration and optimization of healthcare technologies (e.g., Electronic Health Records (EHR) systems, telemedicine platforms, and health apps). Work with IT and healthcare technology teams to ensure the systems in place support efficient service delivery and data management. oIdentify and implement new healthcare solutions, including digital health tools and telehealth services, to enhance patient care and accessibility.
8. Budgeting & Financial Management: Develop and manage budgets related to healthcare operations, ensuring that all expenses are controlled while maintaining high standards of care. Monitor operational costs, and implement strategies to increase financial efficiency without compromising service quality. Work with finance teams to ensure accurate billing, claims management, and financial reporting in compliance with healthcare regulations.
9. Cross-Departmental Collaboration: Collaborate with clinical leadership, business development, and marketing teams to ensure that operations align with the companys goals and patient care objectives. Support new healthcare initiatives and innovations, including service expansions, product launches, and partnerships with other healthcare providers.
10.Reporting & Performance Analysis: Prepare reports for senior management on healthcare service performance, patient outcomes, operational efficiency, and compliance with healthcare standards. Analyze key performance indicators (KPIs) such as patient wait times, service quality, and financial metrics to optimize healthcare delivery. Present operational updates and improvement plans in management meetings.
Qualifications & Skills:
Education: Bachelors degree in Healthcare Administration, Business Management, Public Health, or related field. (Masters degree in Healthcare Management or an MBA is preferred)
Experience: Proven experience as an Operations Manager in a healthcare setting (e.g., hospital, clinic, or health services company). Strong knowledge of healthcare operations, including patient care services, regulatory compliance, and healthcare technologies.
Skills: oIn-depth understanding of healthcare regulations (e.g., HIPAA, OSHA, CMS requirements). Excellent leadership, organizational, and communication skills. oStrong project management skills and experience with process improvement methodologies such as Lean or Six Sigma. Proficiency in healthcare management software (e.g., EHR systems, CRM systems) and operational tools. Analytical mindset with the ability to interpret data and use it to drive improvements.
Preferred Qualifications: Certification in Healthcare Management, Project Management (PMP), or Lean Six Sigma. Experience with healthcare technology systems such as EHR/EMR platforms. Knowledge of financial management and budgeting in a healthcare setting.
