Event Industry Experience: Minimum 2.5-5 years working in event planning, production, or operations; familiar with the structure and pace of event timelines and deliverables. Strong Organizational Skills: Able to juggle multiple projects, timelines, and stakeholders simultaneously without losing sight of the details. Communication & Follow-Through: Excellent written and verbal English communication; proactive in flagging issues and confident in managing client and vendor follow-ups. Tech-Savvy & Adaptable: Comfortable navigating platforms for project management, event registration, scheduling, and virtual meeting software; quick to learn new tools. Execution-Focused: Takes initiative and works independently to complete tasks efficiently and accurately based on direction from leadership or established SOPs. Collaborative Mindset: Able to work remotely while functioning as a trusted team member and liaison for various event components, adapting to shifting needs.
Core responsibilities:
Project Coordination & Support: Assist with the end-to-end planning and execution of physical, virtual, and hybrid events, maintaining alignment with strategic goals, budgets, and deadlines Client & Vendor Liaison: Coordinate communications with vendors, venues, and clients; schedule calls, confirm logistics, and follow up on timelines and deliverables to ensure seamless event flow Event Asset Management: Organize and update creative and production files, documentation, timelines, and run-of-show materials; manage real-time updates for event deliverables Virtual Event Execution: Support the production of online events and meetings by preparing digital assets, organizing participant materials, and troubleshooting basic tech issues as needed. Administrative & Scheduling Tasks: Handle day-to-day administrative needs, including inbox and calendar management, scheduling meetings, tracking RSVPs, and assisting with internal task management tools. Research & Resource Coordination: Source potential venues, vendor services, or event-related technology platforms; compare pricing, quality, and availability to assist in final decision-making.
