Job Requirements:
- Proven Experience as a Virtual/Executive Assistant: Minimum of 2.55 years of experience supporting business owners or executives, preferably in the financial technology or tech/software industries.
- Excellent Organizational Skills: Ability to multitask, prioritize competing demands, and manage complex schedules with minimal supervision.
- Strong Communication Abilities: Exceptional written and verbal communication skills to interact with internal teams and external stakeholders effectively.
- Tech-Savvy and Tool Proficiency: Experience with Slack, email management systems, and productivity tools, with the ability to quickly learn and adapt to new software.
- Proactive and Action-Oriented: Demonstrates a can-do attitude, initiative, and the ability to take independent actions to resolve issues and streamline workflows.
- Attention to Detail and Discretion: Meticulous in reviewing documents and maintaining confidentiality, particularly when handling sensitive or financial information.
Core responsibilities:
- Calendar and Schedule Management: Organize and maintain multiple calendars, coordinate appointments, and ensure seamless scheduling of meetings, taking into account time zones and priorities.
- Meeting Coordination: Plan and set up meetings, including preparing agendas, distributing relevant materials, and recording key discussion points and follow-up actions.
- Email and Communication Oversight: Manage email inboxes, respond to routine inquiries, flag urgent matters, and ensure timely follow-up on communications.
- Report Writing and Presentation Preparation: Draft, proofread, and finalize reports, presentations, and internal documents with a high level of accuracy and professionalism.
- Notification and Reminder Systems: Develop and implement systems for email notifications and task reminders to ensure executives stay on top of deadlines and key deliverables.
- Administrative Support and Task Management: Assist in ad hoc administrative duties, such as document filing, expense tracking, and process optimization to improve operational efficiency.
