Min 2.5 years of proven experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role (3-5 years preferred). Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office software (e.g., Google Workspace, project management tools). Familiarity in social media posting Excellent organizational and multitasking skills. Strong written and verbal communication abilities.
Core responsibilities:
Manage executive calendars, including scheduling meetings, appointments, and travel arrangements. Prepare and organize documents, reports, and presentations for executive meetings. Handle incoming and outgoing correspondence, including emails, phone calls, and mail. Coordinate and arrange internal and external meetings, including setting agendas and taking minutes. Maintain and update office files, records, and databases. Order and manage office supplies and equipment. Undertake basic social media posting in line with client SOPs Liaise with vendors and service providers to ensure office operations run smoothly. Assist with special projects and initiatives as directed by the executive team. Conduct research and prepare summaries or reports as needed. Track and follow up on action items and project deadlines.
