This role is ideal for someone with legal industry experience, strong phone and communication skills, excellent organization, and the ability to manage multiple deadlines while providing professional support to attorneys and clients.

The company is a Texas law firm focused on helping clients navigate probate and estate-related legal matters. The firm supports families through complex legal processes by providing guidance, communication, and representation throughout probate proceedings.
This role supports the firm's daily operations by helping manage client communication, court coordination, scheduling, invoicing, and administrative legal tasks to ensure cases move forward efficiently and clients receive timely support.
Objective of this role:
- Provide reliable administrative and legal support to attorneys and the firm's clients.
- Manage client communication, scheduling, court coordination, and invoicing processes.
- Assist with preparing legal documents and drafting correspondence as needed.
- Maintain organized records and ensure important case-related tasks are completed accurately and on time.
- Help improve the client experience through timely responses, professional communication, and strong follow-through.
Responsibilities:
Client communication and support
- Handle inbound and outbound client phone calls professionally and efficiently.
- Provide updates, gather information, and assist clients with questions related to ongoing matters.
- Maintain clear and professional communication with clients throughout the legal process.
- Escalate questions or issues to attorneys when necessary.
Court coordination and scheduling
- Schedule hearings, appointments, meetings, and other legal-related events.
- Communicate with courts as needed to obtain clarifications, updates, or information regarding matters.
- Maintain accurate calendars and ensure deadlines and appointments are tracked properly.
- Coordinate schedules between attorneys, clients, courts, and other parties.
Legal administrative support
- Assist with preparing and organizing legal documents and correspondence.
- Support basic drafting tasks as assigned by attorneys.
- Maintain case files, records, and important documentation.
- Ensure documents and information are organized and accessible.
Billing and invoicing
- Prepare and manage invoices for legal services.
- Track billing information and ensure records are accurate.
- Follow up on outstanding invoices or payment-related items as needed.
- Maintain organized financial documentation.
Administrative operations
- Use Microsoft Office Suite, Excel, and other administrative tools to manage documents, spreadsheets, and records.
- Assist with general office coordination and workflow management.
- Maintain accurate notes, task lists, and follow-ups.
- Support attorneys with day-to-day administrative needs.
Required skills and qualifications:
- Prior experience working in a legal environment is required.
- Strong phone communication skills and professional client interaction experience.
- Experience supporting legal scheduling, court communication, or case coordination.
- Strong organizational skills and ability to manage multiple priorities.
- Excellent attention to detail when handling documents, records, and billing information.
- Strong written communication skills.
- Comfortable using:
- Microsoft Office Suite
- Microsoft Excel
- Email and document management tools
- Ability to maintain confidentiality when handling sensitive client and legal information.
- Reliable, proactive, and able to follow through on assigned tasks.
- Ability to communicate professionally with clients, courts, attorneys, and internal team members.
Preferred skills and qualifications
- Experience with probate, Heirship proceedings, Independent administration, probate of will with independent administration
- Experience communicating directly with courts, clerks, or government offices.
- Experience with legal billing, invoicing, or trust accounting processes.
- Experience drafting legal correspondence, pleadings, or basic legal documents.
- Familiarity with legal practice management software.
- Prior experience supporting a probate attorney or small law firm environment.
