We are looking for a highly detail-oriented Lease Compliance Administrator to ensure the accuracy and integrity of lease data, tenant billing, and accounts receivable processes across a growing real estate portfolio. This role plays a critical function in bridging Accounting, Asset Management, and Property Management—ensuring lease terms are correctly interpreted, entered, and enforced within Yardi.

The client is a fully integrated commercial real estate investment firm founded in 2015. The company focuses on acquiring, redeveloping, and managing retail shopping centers, industrial warehouses, and other commercial property types across the United States.

Objective of this role:

  • Ensure all lease data, billing, and AR activities are accurate and compliant
  • Maintain integrity of tenant ledgers and lease documentation
  • Support clean financial reporting through accurate lease execution
  • Improve operational efficiency across lease and billing workflows
  • Strengthen tenant relationships through accurate and timely account management

Responsibilities:

Lease Abstraction & Data Management

  • Review leases and amendments to extract key terms (rent, escalations, CAM, obligations)
  • Accurately enter and maintain lease data in Yardi
  • Maintain organized and complete lease documentation

Tenant Onboarding & Offboarding

  • Set up new tenants in Yardi with accurate billing structures
  • Coordinate move-ins and move-outs, including final billing and deposit reconciliation
  • Ensure tenant portal setup and communication is completed

Accounts Receivable & Billing Accuracy

  • Apply daily cash receipts to tenant ledgers
  • Review accounts for rent, CAM, taxes, and other charges
  • Process billing adjustments and corrections
  • Investigate and resolve tenant disputes

CAM Reconciliation & Expense Management

  • Support CAM estimates and annual reconciliations
  • Validate operating expense recoveries and allocations
  • Ensure CAM charges are accurately billed

Critical Date Monitoring

  • Track lease expirations, renewals, escalations, and notice periods
  • Communicate key deadlines to internal stakeholders

Tenant & Internal Coordination

  • Serve as a point of contact for tenant account inquiries
  • Collaborate with Accounting, Asset Management, and Property Management
  • Support tenant communication regarding balances and billing updates

Audit, Compliance & Reporting

  • Perform audits of tenant ledgers and lease data
  • Assist with estoppel certificates and lease documentation
  • Ensure compliance with lease terms and company policies

Required skills and qualifications:

  • 2–5 years of experience in property management, lease administration, or real estate accounting
  • Strong proficiency in Yardi (required)
  • Advanced Excel skills
  • Strong understanding of CAM, NNN leases, and AR processes
  • High attention to detail with strong data accuracy skills
  • Ability to manage high-volume work in a fast-paced environment
  • Strong organizational and time management skills
  • Effective communication and cross-functional collaboration skills

Preferred skills and qualifications

  • Experience in multi-property or commercial real estate environments
  • Familiarity with tenant billing systems and lease compliance processes
  • Experience supporting audits or lease documentation (e.g., estoppels)
  • Proven ability to improve processes and workflows

Milestone Timeline

First 30 Days – Integration & Orientation

  • Complete onboarding and system training (Yardi, internal processes)
  • Review existing lease structures and tenant ledgers
  • Begin supporting tenant billing reviews and basic AR tasks

By Day 60 – Independent Execution

  • Independently manage tenant onboarding and lease setup
  • Apply cash receipts daily and resolve basic tenant discrepancies
  • Begin supporting CAM setup and billing reviews

By Day 90 – Ownership & Accuracy

  • Own accuracy of assigned tenant ledgers and billing processes
  • Identify and correct lease or billing discrepancies proactively
  • Support estoppels and tenant communications as needed

By Day 120 – Strategic Contributor

  • Identify and recommend process improvements for lease and AR workflows
  • Support full-cycle lease compliance across assigned properties
  • Act as a key resource for lease-related accuracy and tenant account integrity
