Objectives of this role:
- Create operational stability by building repeatable systems and processes that drive consistency.
- Develop a sustainable execution engine so the business can scale without dependency on the owner for daily direction.
- Improve visibility and accountability through clear workflows, tracking, and operational reporting.
Responsibilities:
- Build and document core SOPs for daily operations (step-by-step workflows, checklists, templates).
- Design and implement process improvements to reduce errors, delays, and rework.
- Own day-to-day operations management: task tracking, follow-ups, prioritization, and execution cadence.
- Create a simple operational dashboard to track throughput, deadlines, and bottlenecks.
- Standardize handoffs between steps/people to ensure work is completed consistently and correctly.
- Identify gaps in the process proactively and propose solutions before issues escalate.
- Ensure the team follows the defined processes and maintains high-quality execution.
Required skills and qualifications:
- Real Estate Core: Minimum 3 years in Real Estate Operations with the ability to interpret a Title Commitment and identify "Requirements" (e.g., payoff of a specific lien, death certificates, or heirship affidavits).
- Experience in High-Volume Acquisitions, Transaction Coordination, or Wholesale Operations. Must know how to manage the "Gap" between a signed contract and a successful close.
- Deep knowledge of Closing Disclosure (CD) and Settlement Statement auditing.
- Operator Mindset: You don't just "do" tasks; you build the system that ensures the tasks get done correctly every time.
- Logical Mapping: Ability to deconstruct complex, multi-stage legal and real estate transactions into visual, step-by-step logic maps.
- SOP Infrastructure: Experience building a "Single Source of Truth" (Internal Wiki) where processes are documented, searchable, and interactive.
- Process Optimization: Technical proficiency in identifying "friction points" (e.g., where a file sits too long) and re-engineering the workflow to increase throughput.
- CRM Customization: Experience configuring real estate CRMs like REI BlackBook, Podio or Salesforce to track specific deal milestones.
- Automation Mindset: Ability to identify repetitive manual tasks (data entry, follow-ups, document generation) and bridge them using automation/middleware tools.
- Project Management Mastery: Expert-level command of project management environments, structuring boards, automating statuses, and managing dependencies.
- Audit & Compliance: Implementing technical "safety nets" to ensure no property file stalls and all legal deadlines are flagged before they become issues.
- Entrepreneurial Grit: Comfort with ambiguity and the technical skill to build structure where none currently exists.
Preferred skills and qualifications
- Experience building operating systems inside a small business (startups/owner-led businesses a plus).
- Process improvement background (operations, project management, systems implementation).
- Comfort implementing tools/tech to streamline work (automation mindset).
- Experience creating KPI tracking and operational dashboards.
