Objectives of this role:
Streamline administrative and operational workflows.
Enhance financial management and reporting processes.
Support client relationship management and retention strategies.
Foster team collaboration and operational alignment.
Responsibilities:
Manage administrative tasks, including client scheduling, consultations, and billing.
Optimize workflows for client intake, follow-ups, and onboarding.
Develop and maintain SOPs for key processes.
Monitor cash flow, oversee billing, and prepare financial reports.
Manage client communication and track appointments and progress.
Assist with hiring, onboarding, and team performance management.
Research and implement technology tools to enhance operations.
Collaborate on growth strategies and new service offerings.
Ensure compliance with regulations, including HIPAA.
Prepare regular performance reports and analyze data for improvement.
Required skills and qualifications:
Proven experience in operations and administrative management.
Proficiency with tools for scheduling, billing, and CRM.
Advanced Microsoft Excel skills, including data analysis and high-level presentations reflecting the company's current status
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Knowledge of financial planning and reporting.
Familiarity with HIPAA and telehealth platforms is a plus.
Preferred skills and qualifications
Experience in healthcare or therapy practice management.
Ability to lead and collaborate with a remote team.
Strategic thinking and problem-solving skills.
