We are seeking an Executive Assistant who will play a critical role in managing administrative tasks and customer support functions. This position requires strong computer skills, excellent communication, and the ability to handle daily operations independently. The Executive Assistant will manage the VIP hotline, process customer inquiries, assist with billing, and coordinate essential administrative duties.

Responsibilities:

  • Provide top-notch customer support through various communication methods such as telephone, text and email
  • Manage client VIP hotline Monday through Friday. Typical hours include approx. 7AM (EST) to 10AM (EST). These hours could change based on the businesss needs.
  • Various billing responsibilities to include daily, weekly and/monthly client billing, new account setup and clearing payments.
  • Update employee hours as need and process payroll on a weekly basis and run and manage payroll reports.
  • Monthly tax reporting.
  • Monitor social media accounts (possible updating) and respond to google reviews.
  • Provide operational support as needed. 
  • Create and develop Word document and spreadsheets as needed.
  • Enter and setup new employees in the payroll system.
  • Develop an understanding of how the business operates to ultimately provide seamless support.
  • Perform other administrative duties and tasks as needed and directed by the executive.

Required skills and qualifications:

  • Excellent critical thinking skills with the ability to work independently and make independent decisions when needed.
  • Strong communication, collaboration and follow-up skills.
  • Customer focused and friendly personality. Must be able to interact in a pleasant manner with clients and operational staff at all times.
  • Strong troubleshooting skills with an ability to methodically work through and issue to find the best resolution possible.
  • Solid understanding of Windows computer systems with a strong emphasis on Microsoft Word and Excel.
Preferred skills and qualifications
  • Familiarity with POS systems (training can be provided).

  • Excel skills for tracking and reporting purposes.

  • A bubbly, polite, and patient personality that engages positively with customers.
