The Calibration Services Coordinator plays a critical role in managing the administrative and operational workflow for calibration services, including quoting, contract review, scheduling, and customer communication. This position ensures faster turnaround times and improved client satisfaction by supporting both field and QA/QC teams.

Objective of this role:

  • To streamline the calibration process by handling customer quotes, scheduling, and contract reviews, reducing operational bottlenecks, and allowing technical teams to focus on execution.

Responsibilities:

  • Prepare and submit quotes for calibration services
  • Conduct contract reviews for QA/QC compliance
  • Schedule on-site calibration jobs and coordinate technician availability
  • Respond to customer inquiries and follow up as needed
  • Collaborate with vendors and internal staff to streamline service delivery
  • Enter and manage calibration data using designated software
  • Support internal QA and operations by reducing manual workload and improving workflows

Required skills and qualifications:

  • Previous experience in scheduling, quoting, or vendor coordination
  • Excellent English communication skills (spoken and written)
  • High attention to detail with strong organizational skills
  • Ability to work independently and proactively
  • Strong sense of urgency and accountability
  • Proven customer service experience
  • Ability to follow and improve administrative processes

Preferred skills and qualifications

  • Experience with calibration management software (e.g., Indysoft or Mudcats)
  • Background in manufacturing or a working knowledge of measurement tools
  • Experience in QA/QC or contract administration
