Objective of this role:
- The office admin will support the team by managing communications, maintaining organization, and ensuring timely execution of administrative tasks in alignment with company policies and procedures.
Responsibilities:
- Respond promptly and professionally to communications, ensuring timely follow-ups on tasks.
- Collaborate with team members to support shared goals and maintain workflow.
- Manage multiple responsibilities with attention to detail, prioritization, and adherence to procedures.
- Maintain existing procedures and files, ensuring they are up to date.
- Perform accurate data entry and validation of timesheets and records.
- Track and notify team members of expiring safety certificates.
- Track and coordinate ongoing vehicle fleet management and maintenance.
- Coordinate vacation calendars in relation to vehicle maintenance.
- Proactively identify and flag issues or discrepancies.
Required skills and qualifications:
Strong organizational, time management, and multi-tasking skills.
Detail-oriented, proactive, and accurate in maintaining up-to-date records.
Proficient in Google Workspace, Excel, and Word.
Excellent written and verbal communication skills.
Flexible, punctual, and able to meet deadlines while following structured processes.
Preferred skills and qualifications
Proven ability to work as a team player in a fast-paced environment.
Prior experience in an administrative or support role.
Interest in further developing skills in social media management and newsletter marketing.
Working knowledge of Adobe programs
