Objective of this role:

  • The office admin will support the team by managing communications, maintaining organization, and ensuring timely execution of administrative tasks in alignment with company policies and procedures.


Responsibilities:

  • Respond promptly and professionally to communications, ensuring timely follow-ups on tasks.
  • Collaborate with team members to support shared goals and maintain workflow.
  • Manage multiple responsibilities with attention to detail, prioritization, and adherence to procedures.
  • Maintain existing procedures and files, ensuring they are up to date.
  • Perform accurate data entry and validation of timesheets and records.
  • Track and notify team members of expiring safety certificates.
  • Track and coordinate ongoing vehicle fleet management and maintenance.
  • Coordinate vacation calendars in relation to vehicle maintenance.
  • Proactively identify and flag issues or discrepancies.


Required skills and qualifications:

  • Strong organizational, time management, and multi-tasking skills.

  • Detail-oriented, proactive, and accurate in maintaining up-to-date records.

  • Proficient in Google Workspace, Excel, and Word.

  • Excellent written and verbal communication skills.

  • Flexible, punctual, and able to meet deadlines while following structured processes.


Preferred skills and qualifications

  • Proven ability to work as a team player in a fast-paced environment.

  • Prior experience in an administrative or support role.

  • Interest in further developing skills in social media management and newsletter marketing.

  • Working knowledge of Adobe programs
