Shift Schedule: Monday–Friday, 8:00 AM–5:00 PM PST. After proficiency, the schedule may become flexible.

A detail-oriented, back-office administrative role focused on scheduling, routing, and processing lighting inspection data. You will manage inspection workflows from data intake to final reporting, ensuring accuracy, completeness, and consistency across all outputs.

This role requires strong process adherence, attention to detail, and the ability to execute repeatable tasks with a high level of precision.

Objectives of this role:

  • Ensure accurate and timely scheduling and routing of lighting inspections

  • Produce clean, structured, and reliable audit reports from field data

  • Maintain organized inspection records and documentation

  • Support operational efficiency through consistent workflow execution

  • Ensure all outputs meet company standards for accuracy and clarity

Responsibilities:

Scheduling & Routing Coordination

  • Download and manage inspection data from internal systems

  • Export, clean, and organize data in Excel

  • Build and optimize inspection routes using the Spoke platform

  • Review routes for efficiency and alignment with internal guidelines

  • Assign and distribute routes to field inspectors

  • Execute scheduling and routing tasks on a daily basis

Audit Processing & Reporting

  • Review completed inspection data submitted by field auditors

  • Verify site details, observations, and supporting photos

  • Analyze lighting maps to ensure accuracy and completeness

  • Compile inspection results into structured, client-ready reports

  • Submit finalized reports to internal teams or customers

  • Maintain organized records of inspection data and documentation

Process & Performance

  • Follow defined SOPs and workflows with strict consistency

  • Identify and flag missing or unclear data for resolution

  • Support internal tracking and reporting (e.g., inspections processed, turnaround time, accuracy rates)

  • Maintain high standards of accuracy, organization, and professionalism

Required skills and qualifications:

  • Experience in administrative support, operations, or data processing roles

  • Strong attention to detail and accuracy (critical for success in this role)

  • Proficiency in Excel (data organization, filtering, basic formulas)

  • Comfortable working with structured, repeatable workflows
