Support the growth of the company's autism-related programs through referral outreach, coordinator relationship management, marketing execution, digital content, and website support.

This role combines relationship-building, business development, and marketing. The person in this role will communicate directly with service coordinators and referral partners, lead virtual presentations, create promotional materials, help recruit program staff, manage outreach contacts, and support the company's digital presence.

The ideal candidate is personable, confident presenting to external partners, creative, organized, proactive, comfortable with Canva and CRM systems, familiar with website management, and experienced using AI tools to improve productivity.


About the Company:

The company provides autism-related healthcare services, including the Maryland Autism Waiver Program, and is working to expand and restart its ABA program.

Service coordinators and referral partners play an important role in connecting families with the company's services. As the organization grows its programs, it is investing in stronger referral relationships, marketing, and digital visibility.

This role will support that growth by building relationships with coordinators, presenting the company's services, creating marketing materials, maintaining outreach records, and helping strengthen the company's online presence.

Objective of this role:

  • Build awareness and interest in the company's autism programs among service coordinators and referral partners.
  • Develop and maintain professional relationships with coordinators who refer clients to the company.
  • Lead virtual presentations that clearly communicate the company's programs and services.
  • Create professional referral packages, presentations, flyers, graphics, and other marketing materials.
  • Maintain organized outreach and records using CRM, EHR, or database systems.
  • Improve the company's website, social media presence, and other digital marketing channels.
  • Use AI tools to improve research, content creation, outreach, and marketing productivity.

Responsibilities

Referral Outreach & Coordinator Relationship Management

  • Build and maintain professional relationships with service coordinators and other referral sources.
  • Conduct proactive outreach through email, phone, and virtual communication.
  • Schedule and lead Zoom presentations with service coordinators and referral partners.
  • Present the company's programs, services, and capabilities in a friendly, professional, and persuasive manner.
  • Keep the company visible and top-of-mind among coordinators who refer clients.
  • Follow up consistently with coordinators and maintain clear records of previous conversations and next steps.
  • Identify opportunities to strengthen referral relationships and increase program awareness.
  • Collaborate with future local or Maryland-based outreach staff who may attend meetings, events, conferences, or in-person coordinator visits.

Marketing Collateral & Content Creation

  • Create and maintain professional referral packages for the company's autism-related programs.
  • Design flyers, brochures, presentations, graphics, and other promotional materials.
  • Create PowerPoint or similar presentations used during coordinator and referral meetings.
  • Use Canva and other design tools to create polished and professional materials.
  • Learn the company's programs well enough to identify which information should be highlighted for different referral audiences.
  • Adapt materials based on the audience, program, referral opportunity, or campaign.
  • Work closely with leadership to confirm that marketing materials accurately represent the programs and their services.
  • Use appropriate healthcare and autism-related terminology in all external-facing materials.

CRM, EHR & Outreach Tracking

  • Maintain coordinator, referral partner, and outreach contact information in CRM, EHR, or database systems.
  • Document outreach activity, conversations, follow-up dates, notes, and referral opportunities.
  • Help build and maintain the company's coordinator contact database.
  • Support use of StateWise or similar systems for relationship tracking and follow-up management.
  • Keep outreach records organized and current.
  • Learn new systems independently and adapt quickly to company tools and processes.

Website Management

  • Maintain and update the company website as needed.
  • Update website content, graphics, pages, and program information.
  • Review website information for accuracy and professional presentation.
  • Assist with basic WordPress updates and website maintenance.
  • Identify opportunities to improve how the website communicates the company's programs and services.
  • Coordinate with leadership when website changes require approval or additional technical support.

Social Media & Digital Marketing

  • Support social media promotion for the company's programs and services.
  • Help improve the company's social media presence and program visibility.
  • Create graphics, captions, promotional posts, and other digital content.
  • Maintain consistent messaging across social media, referral materials, presentations, website content, and outreach communications.
  • Support digital campaigns designed to increase awareness, referrals, and interest in the company's services.

AI-Assisted Marketing & Outreach

  • Use AI tools such as ChatGPT, Claude, Gemini, or similar platforms to assist with research, content creation, presentations, and outreach.
  • Use AI to develop and refine messaging, marketing ideas, sourcing strategies, and promotional content.
  • Use AI to reduce repetitive manual work and improve productivity.
  • Review and verify AI-generated content before it is used externally.
  • Identify practical ways AI can improve marketing, and outreach processes.

Required skills and qualifications

  • Experience in marketing, outreach, relationship management, business development, or a related role.
  • Strong written and verbal English communication skills.
  • Comfortable speaking directly with external partners through Zoom, phone, and email.
  • Strong presentation and relationship-building skills.
  • Experience creating marketing collateral and professional presentations.
  • Proficiency with Canva or similar graphic design tools.
  • Experience using CRM, EHR, or database systems to manage contacts, notes, and follow-ups.
  • Comfortable conducting outbound outreach and following up consistently.
  • Some experience with sourcing, candidate screening, or talent outreach.
  • Familiarity with website management or content updates.
  • Practical experience using AI tools such as ChatGPT or similar platforms.
  • Strong organizational and time management skills.
  • Ability to manage marketing, outreach, and administrative responsibilities simultaneously.
  • Strong attention to detail and professional presentation standards.

Preferred skills and qualifications

  • Experience in ABA, autism services, behavioral health, healthcare, or related services.
  • Existing experience working with service coordinators, case managers, healthcare providers, or referral networks.
  • Experience developing referral packages for healthcare or community-based programs.
  • Experience recruiting healthcare, behavioral health, direct service, or clinical staff.
  • Experience sourcing candidates through universities, academic departments, career centers, or community organizations.
  • Familiarity with BCBA, RBT, direct service provider, or related behavioral health roles.
