Job Overview

Outsource Ability Ltd is seeking a highly organized and detail-oriented Real Estate Virtual Assistant on behalf of our client. The successful candidate will provide administrative, marketing, and operational support to a real estate professional or team, helping to streamline day-to-day activities and enhance client service delivery. This role is ideal for someone with experience in real estate processes, strong communication skills, and the ability to work independently in a remote environment.

Key Responsibilities

Administrative Support

  • Manage calendars, appointments, and meeting schedules
  • Handle email correspondence and client inquiries in a professional manner
  • Maintain organized digital filing systems and databases
  • Prepare documents, contracts, and transaction-related paperwork

CRM & Database Management

  • Update and maintain client records in CRM systems
  • Track leads, follow-ups, and transaction progress
  • Generate reports and maintain accurate contact lists

Listing & Transaction Coordination

  • Assist with property listings across MLS and other platforms
  • Upload and update property details, descriptions, and images
  • Coordinate with agents, clients, and third parties (e.g., lenders, inspectors, attorneys)
  • Ensure all transaction documentation and deadlines are met

Marketing Support

  • Create and schedule social media posts
  • Assist with email campaigns and newsletters
  • Design basic marketing materials such as brochures and flyers
  • Manage online listings and monitor performance

Lead Generation & Client Management

  • Support lead generation initiatives (e.g., data scraping, outreach, follow-ups)
  • Qualify leads and maintain regular communication pipelines
  • Provide excellent customer service to clients and prospects

Requirements & Qualifications

  • Proven experience as a Virtual Assistant, Real Estate Assistant, or similar role
  • Familiarity with real estate processes, terminology, and documentation
  • Experience using CRM systems (e.g., HubSpot, Salesforce, Follow Up Boss)
  • Proficiency in Microsoft Office and/or Google Workspace
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Ability to work independently and meet deadlines
  • Reliable internet connection and suitable remote workspace

Preferred Skills

  • Experience with MLS platforms and property listing tools
  • Basic graphic design skills (e.g., Canva)
  • Knowledge of social media management tools
  • Understanding of real estate marketing strategies
  • Experience with email marketing platforms (e.g., Mailchimp)
