Job Overview
Outsource Ability Ltd is seeking a highly organized and detail-oriented Transaction Coordinator on behalf of our client. The successful candidate will be responsible for managing and coordinating real estate transactions from contract to close, ensuring all documentation, timelines, and compliance requirements are met. This role is critical in supporting agents, clients, and third parties to deliver a seamless transaction experience.
Key Responsibilities
Transaction Coordination
- Manage all aspects of real estate transactions from contract execution through closing
- Ensure all contractual deadlines and milestones are tracked and met
- Review contracts and supporting documents for accuracy and completeness
- Maintain transaction checklists and ensure compliance with internal processes
Documentation & Compliance
- Prepare, review, and organize transaction documents and files
- Ensure all documentation is complete, accurate, and properly filed
- Maintain compliance with real estate regulations and company standards
- Coordinate the collection of signatures and required disclosures
Communication & Coordination
- Act as liaison between agents, clients, lenders, attorneys, inspectors, and other stakeholders
- Provide regular updates to all parties regarding transaction progress
- Schedule inspections, appraisals, and closing appointments
- Address and resolve issues that may arise during the transaction process
CRM & Systems Management
- Update and manage transaction details in CRM or transaction management systems
- Maintain accurate and up-to-date records of all activities
- Generate reports and track transaction status
Closing Support
- Coordinate final steps leading to closing, ensuring all conditions are met
- Confirm closing details and assist with final documentation
- Ensure a smooth and timely closing process
Requirements & Qualifications
- Proven experience as a Transaction Coordinator, Real Estate Assistant, or similar role
- Strong understanding of real estate transaction processes and documentation
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office and/or Google Workspace
- Experience with CRM or transaction management systems
- Ability to work independently in a remote environment
- Reliable internet connection and dedicated workspace
Preferred Skills
- Experience with real estate transaction platforms (e.g., Dotloop, Skyslope, DocuSign)
- Familiarity with compliance requirements and closing procedures
- Ability to manage multiple transactions simultaneously
- Experience working with international or remote teams
