Overview
Outsource Ability, on behalf of our client, is seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive support to the team. The ideal candidate will be highly organised, adaptable, and capable of managing multiple tasks in a fast-paced environment. This role is essential in ensuring smooth day-to-day operations and effective communication across the organization.
Key Responsibilities
- Administrative Support: Manage calendars, schedule meetings, and coordinate appointments.
- Communication: Draft, proofread, and distribute correspondence, reports, and presentations.
- Data Management: Maintain records, databases, and filing systems (digital and physical).
- Office Coordination: Assist with travel arrangements, expense reports, and procurement of supplies.
- Team Assistance: Support staff with administrative tasks and act as a point of contact for internal and external stakeholders.
- Documentation: Prepare meeting agendas, take minutes, and ensure follow-up actions are tracked.
Qualifications
- National Senior Certificate or equivalent.
- At least 1 year of proven experience as an administrative assistant or in a similar role.
- Fluency in English, both written and verbal.
- Excellent organisational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Attention to detail and problem-solving skills.
Equipment & Connectivity Requirements
To perform effectively in this role, candidates must have:
- Their own laptop, and headset (capable of running productivity software efficiently).
- Reliable power supply (Solar, UPS, or Inverter) to ensure uninterrupted work.
- Stable internet connection (minimum speed sufficient for video conferencing and cloud-based applications).
