Onboarding Specialist

 Job Description:

About the Role

Outsource Ability is recruiting on behalf of a UK serviced accommodation operator for an organised and client-facing Onboarding Manager / Specialist.

The role sits between sales and operations. Once a property owner signs with the client, you will manage the property from handover through to going live, typically within two to four weeks. That covers furnishing, staging, repairs, decoration and compliance, while acting as the owner's main point of contact throughout.

Key Responsibilities

Property Onboarding & Launch

  • Manage each newly signed property from handover through to launch within the agreed two-to-four-week timeframe.
  • Plan and track the onboarding programme for each property, including tasks, deadlines and dependencies.
  • Coordinate repairs, decoration and maintenance work with contractors and suppliers.
  • Arrange professional photography once a property is staged and ready.
  • Confirm each property is fully prepared and handed over to the operations team ready for bookings.

Interior Design & Furnishing

  • Assess each property and recommend how it should be furnished, styled and improved.
  • Specify furnishings and finishing touches such as throws, cushions, lamps and artwork.
  • Build itemised furnishing packages using suppliers such as IKEA and Dunelm.
  • Oversee delivery, assembly and staging so each property is presented to a consistent standard.

Compliance Coordination

  • Identify the compliance requirements for each property before launch, such as fire safety certificates.
  • Arrange the necessary inspections and certificates with qualified providers.
  • Keep accurate records of compliance documents and expiry dates for each property.

Owner Account Management

  • Act as the main point of contact for owners throughout onboarding.
  • Provide owners with clear, professional progress updates.
  • Manage owner expectations on timelines, costs and deliverables.

Systems

  • GoHighLevel
  • Guesty, Hospitable or a similar property management system

Experience with every system is not essential, but you must be confident learning new technology.

What We're Looking For

Essential

  • At least two years' experience in property onboarding, interior design, refurbishment, project coordination or a related client-facing role.
  • A genuine passion for interiors and a strong eye for design and styling.
  • Polished, professional communication with clients, both spoken and written.
  • Ability to manage several property projects at once to tight deadlines.
  • Highly organised, with strong attention to detail and cost tracking.
  • Comfortable coordinating contractors and suppliers remotely.
  • Able to work independently and use sound judgement.
  • Fluent spoken and written English.

Advantageous

  • Experience in serviced accommodation, short-term rentals or property management.
  • Knowledge of UK property compliance requirements, such as fire safety, gas safety and electrical certification.
  • Experience using GoHighLevel, Guesty, Hospitable or a similar platform.
  • Experience building furnishing packages or design proposals for clients.
  • A portfolio or Pinterest board showing your interior design style.
  • Familiarity with UK homeware suppliers.
  • Experience using AI tools in a professional environment.

Working Arrangements

  • Part-time to start, at around 20 hours per week, with the potential to move to full-time as the client's portfolio grows.
  • Additional hours may occasionally be requested during busy periods.

Remote Work Requirements

Applicants must:

  • Be based in South Africa.
  • Have a modern laptop or PC (Intel i5 / AMD Ryzen 5 or equivalent, minimum 8GB RAM).
  • Have a stable fibre internet connection with a minimum of 50 Mbps download and 50 Mbps upload.
  • Have a functional UPS, inverter or power station able to run their router and laptop for at least 2–4 hours during load shedding.
  • Have a professional noise-cancelling headset with a clear microphone.
  • Have a quiet workspace suitable for calls and video meetings.
  • Be available for the agreed hours during UK business times.

Assumptions and additions

  • Scope boundary: I removed the paragraph, and with it the escalation bullet under Owner Account Management.
  • Upsell: I removed the present furnishing packages to owners for approval bullet. Packages are now only built, not sold.
  • Hours: I kept around 20 hours per week in Working Arrangements so applicants know the starting commitment. Tell me if you'd rather drop the number.
  • Unchanged from the last draft: the client descriptor, the inferred responsibilities and requirements, the portfolio/Pinterest line, and the decision to leave out KPIs.
