About the Role

Our client is an active UK property investor seeking a detail-oriented and proactive Property Investment Assistant to support their deal sourcing and acquisition pipeline. This is a remote, virtual assistant role placed by Outsource Ability on behalf of our client, suited to someone with a keen interest in UK property, strong research skills, and the ability to manage outreach and follow-up independently.

The primary objective is to identify and prepare approximately 10 relevant investment opportunities per week for the client to review, based on their specific acquisition criteria. This is not a general property browsing role—accuracy, relevance, and consistency are key.

Key Responsibilities

Property Research & Deal Sourcing

  • Search Rightmove, Zoopla, and OnTheMarket regularly using the client's defined investment criteria
  • Filter and assess listings against criteria, discarding unsuitable properties before presenting to the client
  • Compile a weekly shortlist of up to 10 qualifying investment opportunities in a clear, consistent format
  • Monitor the market for new listings and price reductions on properties already in the pipeline

Estate Agent Relationship Management

  • Build and maintain a structured database of estate agents in the client's target areas
  • Make outbound calls to estate agents to introduce the client and communicate buying criteria
  • Follow up regularly with agents to stay top of mind for off-market and newly listed opportunities
  • Log all agent interactions and keep contact records up to date

Pipeline & CRM Management

  • Maintain a property pipeline tracker or CRM to record all active leads, status, and next actions
  • Update deal stages as properties progress (shortlisted, viewing booked, offer stage, etc.)
  • Flag stale leads, upcoming deadlines, or deals requiring prompt attention
  • Ensure all property data is recorded accurately and consistently

Viewing Coordination & Email Management

  • Liaise with estate agents to book viewings on behalf of the client where a property meets the criteria
  • Manage property-related email correspondence, including follow-ups and viewing confirmations
  • Draft and send professional emails on behalf of the client as directed
  • Maintain an organised inbox and ensure no leads fall through the cracks

Skills & Experience Required

Required:

  • Strong online research skills with a methodical, detail-oriented approach
  • Confident and professional telephone manner — comfortable making outbound calls to estate agents
  • Excellent written English for email correspondence and reporting
  • Proficiency in using a CRM tool for pipeline and database management
  • Strong organisational skills with the ability to manage multiple tasks and meet weekly deadlines
  • Self-motivated and able to work independently with minimal supervision
  • Reliable internet connection and a professional remote working setup

Preferred:

  • Prior experience in a property, real estate, or investment-related role
  • Familiarity with UK property portals (Rightmove, Zoopla, OnTheMarket)
  • Understanding of basic property investment metrics such as yield, ROI, and capital growth
  • Experience using CRM systems or property deal trackers
  • Previous experience in a UK-facing virtual assistant role

Key Performance Indicators

  • Delivery of a weekly shortlist of up to 10 qualifying property opportunities
  • Estate agent database built and maintained to an agreed minimum number of contacts
  • Pipeline entries kept current with accurate status and next-action notes
  • Viewing bookings confirmed within agreed timeframes
  • Email inbox maintained with timely follow-ups and no missed leads
