Executive Assistant
Job Description:
Our client, a well-established company within the property development and ownership sector, is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the Managing Director. This is a dynamic role that combines executive support, operations coordination, procurement, and financial assistance in a fast-paced environment.
Key Responsibilities
- Manage the Managing Directors schedule, meetings, and travel arrangements.
- Serve as a liaison between the Managing Director and internal/external stakeholders to ensure smooth communication.
- Act as a gatekeeper for the Managing Directors time by prioritizing and filtering requests, communications, and decisions.
- Assist with procurement tasks: obtaining quotes, placing orders, tracking deliveries, and maintaining procurement documentation.
- Handle basic bookkeeping: recording transactions, managing invoices, reconciling accounts, and monitoring cash flow.
- Support the preparation of weekly financial reports and presentations using Excel and other relevant tools.
- Utilize AI tools to streamline administrative workflows (training provided as required).
- Coordinate and manage meetings: prepare agendas, organize logistics, and ensure timely follow-up on action points.
- Support business operations by streamlining workflows such as permit applications, contractor onboarding, and project timeline coordination.
- Maintain CRM and workflow systems for accuracy and efficiency.
- Provide daily end-of-day reports summarizing confirmed schedules and next-day action points.
- Monitor and categories the Managing Directors incoming emails, identifying priorities for timely response.
- Manage procurement and vendor coordination: gather and compare quotes, maintain cost-effectiveness, and ensure documentation accuracy.
- Collect and verify sales data to support reporting and decision-making.
About You
- Exceptional organizational and multitasking skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Proven experience supporting senior leadership in an administrative or executive assistant capacity.
- Proficiency in Microsoft Office (especially Excel); familiarity with CRM systems and financial processes.
- Strong sense of initiative and ability to work independently with minimal supervision.
- Comfortable learning and applying AI tools to improve efficiency.
- Experience within property development, real estate, or construction industries is an advantage.
