Position Overview
This role involves providing lease administration support to the Property Management Services and Finance Teams for all assets under management. The focus is on data extraction from lease documents across various asset classes including Retail, Office, Industrial, Healthcare, and Agriculture. The role includes maintaining accurate MRI database information, scheduled internal property management reporting, and facilitating the day-to-day workflow requirements between the Property Management Services and Finance Teams.
General Responsibilities
· Receive leasing documents from Australian-based Property Managers and input high-level commercial and financial terms into the leasing database, MRI.
· Review and examine lease documentation to input lease data and lease notes into MRI (including, but not limited to lease options, notices, onerous clauses, bank guarantee information, tenant contacts).
· Conduct tenant establishment, tenant vacating, holdover arrangements, and deactivating leases in MRI.
· Raise monthly rental charges and issue tax invoices.
· Process monthly rent escalations and issue notifications to tenants.
· Raise ad hoc charge requests through Hydra smart forms.
· Maintain a register of retail sales history and provide reporting on turnover rent.
· Vendor management (including validation of bank accounts and phone calls to vendors)
· Perform rolling data integrity audits of tenancy details within MRI, ensuring high level of accuracy is maintained in MRI.
· Maintain tenant details in MRI, including contacts, certificates of currency, bank guarantees, lease expiry dates, and rent reviews.
· Audit bank guarantees and security deposits to ensure current securities are held against all leases.
· Follow acquisition and disposal checklists and regularly provide updates to key stakeholders.
· Maintain the Document Library register, ensuring that soft copies of all leasing documents are kept in this platform as well as in MRI.
· Create and apply outgoings profiles for ongoing recovery charges to tenants, including annual reconciliations, with advice from Property Managers.
Position Requirements
· Bachelors/College Degree.
· Minimum 2 years of experience in lease administration, covering at least one of the following asset classes: retail, industrial, commercial, Healthcare and agricultural.
· Strong communications skills including excellent oral and written abilities.
· Knowledge of systems such as MRI Software, Yardi, and JD Edwards is an advantage.
· Proficient in Microsoft Office applications.
· Highly organized with strong attention to detail.
· Adaptable and flexible to change and new systems and processes. Able to work independently, highly driven, and a team player.
· Proficient time management capabilities.
· Pleasant personality, positive work attitude, and customer service oriented.
