About the job Dental Virtual Assistant
As a Dental Virtual Assistant, you will work directly with our clients doctors (Dentists) and other dental professionals based in the USA. Our goal is to help our clients improve workflow, save time, and eliminate the burden of in-room documentation. Additionally, Dental Virtual Assistants can assist with back-office and administrative tasks.
The ideal candidate will have a friendly personality, excellent customer service & communication skills, and be well organized. You must be a team player. Multilingual is a plus!
Experience in dental assisting or dental office work is a plus, but not required.
We are willing to train the right person with a strong work ethic.
Expected hours: minimum of 20 hrs/week to max 40 hrs/week.
Training period (part-time) : 20 hrs/week. Once graduated training, it will be changed to full-time.
Schedule: Recommended Mon-Sun(Including 2 consecutive rest days, but possibly work during weekend), but flexible depending on candidate skills & office needs.
Duties and responsibilities
- Greet patients virtually at reception desk, answer phones, schedule appointments.
- Handle incoming and outgoing phone calls professionally and on time.
- Update and maintain accurate patient records, ensuring data integrity and confidentiality.
- Collect and verify patient insurance benefits.
- Communicate with patients to provide pre-operative instructions and appointment information.
- Enter relevant data into systems and update patient information as required.
- Monitor patient progress and assist in tracking and documenting treatment plans.
- Support dentists and other professionals, collaborating effectively with the team.
- Assist in billing processes, ensuring accuracy and adherence to billing guidelines.
- Work with the same client consistently, leading to the development of a long-lasting work relationship.
- Maintain confidentiality and always adhere to HIPAA regulations.
Qualifications
- Provide proof of education or training, such as a degree or certificate in your specialized field (dentistry, nursing preferred).
- Have experience working remotely with clinics or hospitals in the U.S. (Dental agency experience preferred).
- Must have highly proficient computer skills, Open Dental/PMS experience preferred.
- Able to read X rays (Preferred)
- Be fluent in speaking and writing English. Proficiency in medical terminologies and practices is required.
- Have strong typing and data entry skills.
- Must possess excellent customer service and communication skills.
- Preferably have experience working with various insurance companies in the U.S. (PPO & Medicaid)
- Be able to work night shifts, i.e., 9 PM-6 AM US EST.
- Have a customer service mindset and the ability to verify data accuracy.
- Submit an NBI clearance.
- Provide a valid, government-issued photo ID (such as Drivers License, Postal ID, UMID, Passport)
- Work from home: Have a quiet work environment and a professional, neutral background with decent lighting (examples will be provided)
- Internet subscription/speed: At least 25 Mbps (DSL/Fiber only)
