Job Overview:

The Move-In Coordinator is responsible for ensuring a seamless leasing experience by managing move-in processes, maintaining compliance with landlord-tenant laws, and providing excellent customer service.

The Move-In Coordinator is responsible for managing the leasing and move-in process, ensuring a seamless transition for residents while maintaining compliance with landlord-tenant laws and company policies. This role requires strong organizational skills, attention to detail, and excellent customer service abilities.

Key Responsibilities:

Leasing & Move-In Coordination:

  • Oversee and complete the AppFolio Move-In Workflow accurately and on time.
  • Ensure leases are fully signed and all move-in details are properly documented.
  • Coordinate inspections, rent-ready status, and lockbox installations with the Property Director.
  • Respond promptly and professionally to prospect and resident inquiries.

Resident & Client Communication:

  • Provide exceptional customer service to prospective and current residents.
  • Maintain clear and timely communication with Leasing Specialists, vendors, and internal teams.
  • Document all resident interactions in AppFolio by the end of each business day.

Compliance & Documentation:

  • Stay updated on landlord-tenant laws and fair housing regulations to ensure compliance.
  • Keep accurate and organized records in AppFolio and Dropbox.
  • Follow company policies, procedures, and leasing guidelines.

Administrative & Operational Support:

  • Check and manage schedules, voicemails, and emails, responding within 24 hours.
  • Review approved applications and ensure all required documents are sent.
  • Attend team meetings to discuss updates, challenges, and process improvements.
  • Assist with additional tasks as needed to support leasing operations.

Qualifications & Requirements:

  • Experience: At least 1-2 years of experience in property management, leasing, or customer service.
  • Knowledge: Familiarity with leasing processes, fair housing laws, and landlord-tenant regulations.
  • Technical Skills: Experience using property management software (AppFolio) preferred.
  • Communication: Strong written and verbal communication skills to interact with residents, vendors, and internal teams.
  • Organization: Ability to manage multiple tasks, meet deadlines, and maintain accurate records.
  • Customer Service: A proactive, problem-solving mindset with a focus on resident satisfaction.
