Job Overview:

We are seeking a highly reliable and experienced Virtual Assistant with strong knowledge of Buildium to support our property management operations. The ideal candidate must be organized, detail-oriented, and proactive in handling administrative and customer service tasks. Spanish language proficiency is required for communication with tenants, vendors, and stakeholders.

Key Responsibilities:Customer Communication & Follow-Ups

  • Respond to all calls, texts, and emails within one business day and log them into an Excel sheet for tracking.
  • Confirm job details with new clients, ensuring deposits are made, colors are chosen, and weather conditions are checked.
  • Follow up with existing clients, providing updates, addressing concerns, and identifying additional service opportunities.
  • Reach out to potential clients who received estimates to inquire about project timelines and interest.

Financial & Job Tracking

  • Track daily job activity and update job-related Excel sheets with receipts.
  • Monitor outstanding balances and follow up for payments via calls, emails, and texts until payments are received.
  • Maintain organized records of job activities, financial transactions, and communications.

Marketing & Lead Generation

  • Call and email key business networks (Letip, LICN, landlords from DPM) at scheduled intervals to maintain engagement.
  • Conduct monthly mailer campaigns for tenants, past clients, and potential leads.
  • Perform property research on Craigslist (3x per week) and Zillow (2x per week) to identify potential landlord leads.
  • Contact property management companies within a 20-mile radius to offer maintenance services.
  • Create and post daily work photos and marketing content using Canva for social media platforms.

Calendar & Scheduling

  • Ensure the business calendar remains full with scheduled jobs.
  • Proactively book new jobs to keep the team engaged and minimize downtime.
  • Schedule and confirm estimate appointments, sending email confirmations with detailed job descriptions.

Customer Experience & Process Improvement

  • Enhance the customer experience by ensuring fast responses to inquiries via platforms like Angies List, Craft Jack, 99 Calls, Google Ads, and Painters Choice.
  • Streamline the payment process to make it quick and user-friendly for customers.
  • Maintain a professional, friendly, and energetic demeanor in all client interactions.

Required Qualifications:

  • Proven experience using Buildium (mandatory).
  • Fluent in Spanish (spoken and written).
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Experience with customer service and administrative support.
  • Proficiency in Microsoft Excel and Google Suite.
  • Ability to create engaging marketing content using Canva.
  • Self-motivated and proactive with strong problem-solving abilities.

Preferred Qualifications:

  • Experience in property management or real estate.
  • Knowledge of digital marketing and social media management.
  • Familiarity with payment processing systems and CRM tools.
