Job Overview

We are seeking skilled and proactive Real Estate Virtual Assistants (VA) to join our dynamic team. These roles encompass a variety of responsibilities, including administrative support, transaction coordination, leasing assistance, and listing management. The ideal candidates will have experience in the real estate industry, possess strong organizational skills, and be capable of managing multiple tasks efficiently. This is a remote position, requiring excellent communication and time management abilities. 


Key Roles:

General Real Estate VA

  • Client Communication: Handle communication with clients, responding to inquiries, and providing updates on transactions.
  • Document Preparation: Assist in the preparation and review of real estate documents, contracts, and agreements.
  • Research: Conduct market research, comparative market analysis (CMA), and property research to support real estate activities.
  • Marketing Support: Create and distribute marketing materials, manage social media accounts, and update property listings on various platforms.


Admin & Executive Assistants

  • Administrative Support: Provide comprehensive administrative support to real estate agents and executives, including scheduling, correspondence, and document management.
  • Office Management: Oversee virtual office operations, manage supplies, and ensure a well-organized work environment.
  • Executive Assistance: Support executives with calendar management, travel arrangements, and special projects.


Transaction Coordinators

  • Transaction Management: Oversee the real estate transaction process from contract to close, ensuring all paperwork is completed accurately and on time.
  • Timeline Coordination: Manage transaction timelines, scheduling inspections, appraisals, and closings.
  • Client Updates: Keep clients, agents, and other stakeholders informed of transaction progress and any issues that arise.


Leasing Coordinators

  • Tenant Communication: Handle inquiries from prospective tenants, schedule property viewings, and provide information on rental properties.
  • Application Processing: Assist with processing rental applications, conducting background checks, and verifying tenant information.
  • Lease Preparation: Prepare and review lease agreements, ensuring all terms and conditions are met.


Listing Coordinator

  • Listing Management: Manage the listing process, including gathering property information, scheduling photoshoots, and creating MLS listings.
  • Marketing Coordination: Develop and implement marketing strategies to promote listings, including online advertisements and social media campaigns.
  • Client Interaction: Communicate with sellers to provide updates, gather additional information, and ensure satisfaction with the listing process.


Marketing & SMM Specialist

  • Social Media Management: Create, schedule, and manage social media posts across various platforms (e.g., Facebook, Instagram, LinkedIn) to engage with the audience and promote properties.
  • Content Creation: Develop high-quality content for social media, blogs, newsletters, and other marketing materials.
  • Campaigns: Design and execute marketing campaigns to increase brand awareness and attract potential clients.
  • Analytics: Monitor and analyze social media and marketing performance metrics, providing insights and recommendations for improvement.
  • Brand Management: Ensure consistent branding across all marketing channels and materials


Qualifications

  • Education: High school diploma or equivalent; additional education in real estate, business administration, or a related field is a plus.
  • Experience: Minimum of 2 years of experience in real estate support roles, virtual assistance, or a related field.
  • Skills: Proficiency in real estate software (e.g., MLS, DocuSign, transaction management systems) and Microsoft Office Suite.
  • Certifications: Relevant real estate certifications are a plus.
  • Knowledge: Understanding of real estate transaction processes, marketing strategies, and administrative practices.
