About the Role:
We are seeking a highly organized, detail-oriented, and proactive Virtual Executive Assistant to support a Commercial Real Estate entrepreneur with a growing portfolio of multifamily assets. The ideal candidate is not just a task manager, but a true partner who brings experience in accounting, property management, and light asset management to the table. Key Responsibilities:
Financial & Asset Support
- Reconcile monthly bank statements across multiple properties
- Assist in reading and analyzing property P&Ls and financial statements
- Support the asset management process through Excel modeling and quant analysis
- Track KPIs and property performance metrics
- Assist in preparing investor and lender reporting packages
Operations & Property Management Support
- Support property management teams with administrative tasks
- Help implement and refine management processes and systems
- Maintain digital filing systems in Dropbox or similar platforms
- Organize and maintain documents such as leases, contracts, and compliance items
Executive Assistance & Project Management
- Schedule meetings, manage calendars, and coordinate travel
- Draft and manage professional client-facing emails and correspondence
- Help track and drive key projects and initiatives to completion
- Serve as a body double for accountability and momentum on time-sensitive tasks
CRM & Sales Support
- Set up and maintain a CRM database (e.g., HubSpot, Zoho, or similar)
- Organize and track leads, contacts, and investor information
- Help manage outbound communications and marketing initiatives
Preferred Qualifications:
- 2+ years in commercial or multifamily real estate, accounting, or asset management
- Strong proficiency in Excel / Google Sheets (quantitative models, formulas, formatting)
- Experience reconciling bank statements and reviewing P&L statements
- Background in property management or bookkeeping a plus
- CRM database experience (setup, maintenance, basic automation)
- High attention to detail and organizational skills
- Excellent written communication skills; polished and professional tone
- Tech-savvy comfortable navigating various platforms (Dropbox, Slack, Zoom, task management tools)
- Self-starter who enjoys creating order from chaos
- Positive, eager-to-help attitude and team player mindset
Bonus Points If You Have:
- Experience working remotely with entrepreneurs or small teams
- Familiarity with U.S. real estate terminology and systems
- Prior experience building filing systems or standard operating procedures
- Project management certifications or experience (Asana, Trello, ClickUp, etc.)
