Position Overview:
We are seeking a highly organized and detail-oriented Lead Administrative Assistant with experience in property management systems such as Buildium, Appfolio or similar software. This role involves managing administrative tasks, streamlining processes, and supporting the property management team to ensure seamless operations. The ideal candidate will have exceptional multitasking skills, a proactive approach, and the ability to lead and mentor a team.

Key Responsibilities:

  1. Administrative Support:

    • Oversee day-to-day administrative tasks, including tenant communications, lease management, and document organization.
    • Ensure accurate and timely data entry into property management software (Buildium, Appfolio, Etc).
    • Prepare reports, track property performance metrics, and manage deadlines.
  2. Tenant and Owner Relations:

    • Serve as a primary point of contact for tenants, addressing inquiries and resolving issues promptly.
    • Support property owners by providing updates and maintaining clear communication.
  3. Team Leadership:

    • Train and mentor junior administrative staff, ensuring adherence to best practices and company standards.
    • Delegate tasks effectively to maintain smooth workflow and operational efficiency.
  4. Property Management Assistance:

    • Coordinate property maintenance requests and follow up to ensure timely resolution.
    • Assist in scheduling property inspections, managing vendor relationships, and ensuring compliance with local regulations.
  5. Process Optimization:

    • Identify opportunities to improve administrative workflows and implement efficient processes.
    • Maintain updated knowledge of Buildium, Appfolio or similar software features to enhance productivity.
  6. Financial Management Support:

    • Assist in tracking rent payments, issuing invoices, and reconciling accounts.
    • Work with the accounting team to ensure accurate record-keeping and reporting.

Qualifications:

  • Proven experience in property management or a related field.
  • Proficiency in property management software such as Buildium or Appfolio (required) and/or similar software.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Leadership experience with a focus on team collaboration and mentorship.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar tools.
  • Ability to handle confidential information with integrity.
