Job Summary
We are seeking a detail-oriented and customer-focused HOA Customer Service Representative to provide exceptional support to homeowners' associations (HOAs). The ideal candidate will handle homeowner inquiries, assist with administrative tasks, and ensure smooth day-to-day operations while delivering outstanding service.
Key Responsibilities

Respond to homeowner inquiries via phone, email, or online portals professionally and efficiently

Assist with HOA administrative tasks such as issuing notices, processing violations, and maintaining records

Coordinate with HOA board members, vendors, and property managers to resolve homeowner concerns

Manage community calendars, schedules, and booking requests for shared amenities

Handle and escalate homeowner complaints while ensuring timely resolutions

Provide updates to homeowners regarding community events, projects, and important announcements

Maintain accurate records of all interactions and transactions in HOA management software

Generate reports for board meetings and assist with newsletter creation

Collaborate with team members to ensure smooth HOA operations and consistent customer service
Qualifications and Skills
Required:

1+ year of customer service experience, preferably in the property management or HOA industry

Strong written and verbal communication skills in English

Ability to handle multiple tasks, prioritize, and meet deadlines

Proficiency with HOA management tools like Vantaca, CINC Systems, or similar platforms

High level of attention to detail and problem-solving skills

Professional and empathetic demeanor when dealing with homeowners
Preferred:

Experience working with HOAs or property management companies

Familiarity with community association policies and procedures

Ability to work independently and collaboratively in a remote environment
