Job Summary

We are seeking a Data Analytics Assistant to support property management operations by generating, reviewing, and distributing accurate reports to property owners and internal teams. The ideal candidate will be detail-oriented, experienced in Property Management tools and Excel, and capable of maintaining organized records while ensuring compliance with company policies and relevant regulations. This role requires strong communication skills, analytical thinking, and the ability to meet deadlines consistently.

Responsibilities

    General Responsibilities:

    • Represent the companys mission, goals, and values in a professional and positive manner.

    • Provide excellent customer service and communication to residents, owners, and vendors.

    • Maintain ongoing communication with supervisors and team members via phone, email, and virtual meetings.

    • Ensure compliance with local, state, and federal laws, including Fair Housing and Landlord-Tenant Laws.

    • Attend required training and development sessions.

    • Accurately document all resident communications and relevant activities in AppFolio by the end of each business day.

    • Maintain organized and accurate records in AppFolio and Dropbox, including resident documentation, property contracts, vendor proposals, and weekly/monthly trackers.

    • Provide solutions and expert insights to direct supervisors to improve reporting processes.

    Daily Responsibilities:

    • Check and update schedules for upcoming appointments.

    • Respond to voicemails and emails within 24 hours.

    • Review and address tasks from the Activities Summary Report in AppFolio.

    • Attend team meetings to discuss challenges, share updates, and review company information.

    • Perform necessary edits or additions to reports as requested by the supervisor.

    Weekly Responsibilities:

    • Participate in weekly check-ins with the direct supervisor.

    • Generate and update weekly reports for property owners and distribute them to the appropriate Portfolio Manager.

    • Review all reports for accuracy and completeness before submission.

    Monthly Responsibilities:

    • Pull comparative market reports for all properties as directed by the supervisor.

    • Assist with any monthly reporting requests from the direct supervisor on behalf of Portfolio Managers or property owners.

    Annual Responsibilities:

    • Assist with any annual reporting tasks as assigned by the direct supervisor.


Qualifications and Skills

Required:

  • Minimum 2 years of experience as a Data Analytics Assistant or in a similar role.

  • Proficiency in property management tools, particularly the reporting features.

  • Advanced knowledge of Excel and data analysis.

  • Strong analytical and problem-solving skills.

  • Excellent written and verbal communication skills in English.

  • Ability to work independently and meet deadlines consistently.

Preferred:

  • Experience in property management or real estate.

  • Familiarity with US property management regulations and standards.

  • Strong understanding of data visualization and reporting best practices.
